The Opportunity

JOB DESCRIPTION

Are you an adaptable self-starter who enjoys taking initiative in a fast-paced environment, and who is able to react quickly and responsibly to changes? As an Administrative Assistant, you will be a key member of the Bitumen Production team and will have an opportunity to work with experienced professionals from the bitumen production team. Reporting to the Operations – Horizon Bitumen Production Manager, this position will suit administrative professionals that embrace autonomy to complete work efficiently and accurately.

  • Job location: Horizon Oil Sands - Fort McMurray, Alberta
  • Shift schedule: 4 x 3, 10-hour shifts (Monday – Thursday)
  • Safety sensitive position: Yes

Key Accountabilities

  • Process contractor onboarding, vehicle passes, camera passes, and visitor passes and set up contractors with Canadian Natural email addresses upon request
  • Liaise with other personnel within the Bitumen Production Group and other supporting departments on the Horizon Site in order to ensure accurate data capture
  • Responsible for entering data and producing weekly and monthly reports from the Canadian Natural computer databases
  • Submit requests on behalf of Bitumen Production for things like building maintenance, and IT requests
  • Use problem-solving skills to help others with a plethora of one-off requests
  • Other administrative duties include:
    • Performing cross-functional duties with others in the department for vacation coverage
    • Assisting employees with inquiries regarding, coveralls, prescription safety glasses, and submitting expenses
    • Chair monthly staff safety meetings and update bulletin boards, distribute mail, and print posters on the plotter
    • Printing documents for the Vice President for meetings and set up WebEx meetings and take notes as required
    • Updating trackers to keeping track of training expenses and safety key accountabilities for the department
    • Ordering supplies such as paper, stationary items, and boot covers and maintain office maps and help with office assignments including configuration requests, and computer set up requests
    • Requesting camps and flights for visitors upon request
What You Bring To The Role

  • Grade 12 Diploma or GED
  • 3-5 years office administration experience or a combination of the equivalent
  • Preferably, experience working on site in a construction or oil sands environment
  • Proficiency in Microsoft Office applications including: Word, Excel, PowerPoint and Outlook
  • Ability to work effectively alone and maintain productive working relationships with all members of the team
  • Successful at seeing the big picture while maintaining exceptional attention to detail along with outstanding organizational skills
