About The Opportunity

Are you a dynamic, organized, and enthusiastic professional with a passion for procurement? Our client in the west end is looking for a talented Vendor and Procurement Specialist to join their team. Duties include but are not limited to, the following:

  • Maintain regular communication with vendors and provide usage reports on a predetermined schedule
  • Manage all vendor information, including contracts and portal access
  • Review vendor quotes to ensure they meet requirements before processing orders
  • Keep the price list updated and share any changes with the Sales team
  • Oversee the purchase order process and monitor customer orders
  • Collaborate with various departments to ensure procurement activities align with business needs, identifying process gaps and proposing solutions as part of our continuous improvement efforts
  • Work closely with Production, PMO, and Sales teams to understand customer needs
  • Generate sales orders for all customer requests
  • Coordinate with Logistics and Finance teams to manage service tags and equipment/software registration, ensuring compliance with regulations
  • Manage license administration, versioning, and warranties for customer systems
  • Oversee the renewal process for all software and hardware, coordinating with Program Managers on upcoming renewals
  • Maintain accurate records of warranty dates for all customer hardware and software
  • Prepare quotes for warranty extensions
  • Manage inventory by decommissioning equipment or sites in the ERP system
  • Ensure the ERP system contains accurate records for each active service location, including creating, updating, moving, and decommissioning service items after project installation
  • Request, create, and distribute Asset Tag Reports for customers
  • Create and maintain reports relevant to build cycles
  • Develop configuration documentation, including software configuration plans and visual representations of server racks, to assist in building, configuring, and testing systems

About You

The successful candidate will have the following:

  • Bachelor’s degree in Business Administration or equivalent
  • Minimum 2 years of experience in a Procurement, Contract/Vendor management role or equivalent
  • Proficient in maintaining details and reporting within an ERP system
  • Experience in managing license management, versioning, and warranties for customer systems is an asset
  • Skills in identifying process gaps and proposing solutions for continuous improvement
  • Strong analytical and problem-solving skills
  • Strong communication and coordination skills to collaborate with vendors and internal cross-functional teams
  • Ability to learn quickly, organize well, and take initiative
  • Skills in identifying process gaps and proposing solutions for continuous improvement
  • Excellent English Communication Skills
  • Ability to obtain a security clearance

About the Job

Location: Hybrid (in-office 2 days/week), Kanata, Ontario

Duration: Permanent

Salary: $63,500 - $80,000

Benefits: Dental, Medical, RRSP Matching, and bonus eligibility
