McMillan has an exciting opportunity for an Executive/ Legal Assistant supporting the National Client Relationship Ambassador in our Vancouver Office. This unique role will encompass both executive assistant and legal administrative assistant duties. You will provide high-level administrative support of the daily operations to our Partner and National Client Relationship Ambassador, including coordinating travel, calendar management and file organization.

This is an excellent opportunity for an administrative professional with mid-to-senior level experience who is looking for a new challenge.

Please note that this role offers a hybrid workweek. Each week will combine both working at home for a few days and working in the office for the balance. Your hybrid schedule will start once you join McMillan!

What You’ll Do

As an Executive Legal Assistant, you will be involved in a wide variety of responsibilities including, but not limited to:

  • Drafting correspondence and documents, including, but not limited to, draft emails for onward transmission to client.
  • Assisting with calendar management and meeting preparations.
  • Scheduling meetings and coordination of information both internally and externally.
  • Organizing and preparing materials and presentations for meetings both virtually and in-person.
  • Creating, updating, and maintaining organizational charts for tracking of funds, current projects, and upcoming events.
  • Coordinating with lawyer and travel agent on travel arrangements and ongoing travel management; preparing and maintaining travel itineraries.
  • Monthly docketing.
  • Assisting with invoice management and arranging monthly accounting with billing coordinator.
  • Assisting our marketing and business development team regarding speaking engagements.
  • Managing and handling incoming/outgoing mail and couriers.
  • Assisting with completing yearly items related to Law Society and external parties’ compliance.

What You Bring

You have completed a post-secondary diploma or certificate in administration. Your history includes 3-5 years of administrative experience in a high volume, fast-paced environment. You have exceptional client service skills and communicate in a professional manner, exercising discretion and tact. You demonstrate the ability to handle stress and multiple tasks in a composed, calm and professional manner. In addition, this position requires an individual with excellent organizational, communication and written skills. You have the ability to take initiative and work independently. You embrace evolving technology and have strong computer skills, specifically in Microsoft Excel and other Microsoft Office Suite products. You possess a high degree of sensitivity to confidential information, accuracy of work product, and attention to detail. Previous experience in a law firm environment would be considered an asset.

Salary Range: $65,000 - $75,000 annually
