Assist with project support duties on current Architectural projects and other regular administration duties. The ideal candidate will have experience in a similar role, and possess proficiency in Microsoft Office: SharePoint, Office 365 Word, Excel and Outlook and strong typing skills. In addition, possess strong organizational and problem-solving skills and a keen eye for detail.

Role Accountabilities:

Working with Architecture and Urbanism teams, and occasionally others, your role will vary from assisting with document management, submissions for permits and occupancy along with administrative responsibilities that would include:

 

  • Coordinate tasks and, in conjunction with senior administrators, provide guidance to team onsite
  • Escalates issues to Line Managers and work with them to implement solutions, acts as a catalyst at the office level
  • Look for opportunities for continuous improvement, especially to processes and practice 
  • Supporting compliance to company and industry processes and standards; providing on the ground reinforcement around the same.
  • Client Service focus, both internal and external
  • Maintaining project lists and contact lists, including data inputs into company CRM program
  • Project filing and other document handling as required. Document management generally
  • Maintaining local project records, including those utilizing cloud-based Construction Admin software
  • Assisting with progress draws and change orders, in support of architectural jobs
  • Assisting with document management regarding submissions for permits and occupancy
  • Assisting with issuance of supplemental instructions, site reviews and other project documentation
  • Coordinating meetings, assisting with submissions and other architectural tasks as required
  • Supporting submission of proposals and contract review. Assist in preparation of Additional Service Requests
  • Other duties as required.

 



Qualifications and Experience:

  • Minimum high school diploma.  Post-secondary university or college degree desired
  • Minimum 3 to 5 years' experience working in a large office or work environment
  • Architectural / Engineering / Project Management experience an asset
  • Ability to work independently and have a collaborative attitude in working with members of team
  • Proven multitasking and time management skills with ability to prioritize effectively with strict deadlines
  • Keen attention to detail and quality checking mindset
  • Strong written and verbal skills with the ability to proofread documents and communications
  • Highly capable with Microsoft Office Suite; familiarity with SharePoint and O365
  • Information managements skills (filing systems, IT processes, etc.)
  • Confident, socially comfortable with people
  • Energetic, diplomatic, flexible problem-solving mindset
  • Keen interest in learning and mastering new skills
  • Quality Management driven
  • Ability to lift/move approximately 50lbs (avg weight of box of copy paper)
  • Architectural / Engineering / Project Management experience an asset
