Position Summary

The People and Culture (HR) Coordinator acts as a first point of contact for visitors to the Human Resources department providing departmental administrative support with a focus on compensation and labour relations coordination.

Primary Responsibilities

  • First point of contact for all inquiries, manages the general line as well as email inboxes
  • Provides administrative support to the People and Culture team including mail, ordering of supplies, processing invoices, payroll
  • Dedicated liaison for SEIU labour partners.
  • Processes Union Leave of Absence requests and associated administrative tasks
  • Creates and maintains agendas, minutes and action items for labour partner meetings
  • Schedules all employee meetings maintaining a high level of confidentiality and attention to detail ensuring appropriate union representation
  • Responsible for monitoring Respectful Workplace complaints that are submitted, facilitating the complainant communication process and providing status updates
  • Works closely together with and in support of Human Resource Business Partners and HR Leadership.
  • Support the Pay Equity program at BCHS by scheduling meetings and managing all documents
  • Responsible for receiving and supporting SEIU grievances including creating grievance folders, tracking and coordinating all meetings, keeping detailed notes and creating agendas for all meetings, providing support for the HRBP through the grievance process and attending grievance meetings as required
  • Responsible for regular reporting including creation of the bi-weekly Active Employee Listing and Seniority Listing and creating bi-weekly step increase reports
  • Processes employee requests, for example: Employment Letters/Verifications, Nursing Verifications, Legal Requests, Meditech Personal Information Updates (Name Changes)
  • Provides administrative support to the Benefits and Pension team, for example: Entering new Benefits and HOOPP enrollments, Sending HOOPP enrollment email with brochure link to all new hires, entering and auditing termination of benefits
  • Processing balance payouts as such as lieu time, vacation, supplementary vacation etc.

Education Requirements

  • Two year diploma in a related field such as Human Resources, Business Administration etc. or equivalency in Education and Experience.

Mandatory Qualifications

  • Minimum two years of related work experience, with a unionized administrative environment preferred
  • Human Resources experience is preferred

Mandatory Competencies

  • Strong computer Skills (Word, Excel, Power Point, Access, Outlook). Advanced Level – Microsoft Office Applications Word and Excel. Minimum typing speed of 50 wpm
  • Exceptional organizational skills
  • Strong interpersonal skills, insight and ability to listen
  • A high degree of enthusiasm, tact, diplomacy and confidentiality
  • Must be able to work in a fast paced changing and demanding environment
  • Ability to occasionally be flexible with working hours
  • Demonstrated ability to work both as a member of a multidisciplinary team and an independent professional
  • Demonstrated commitment to professional growth and development of self and other creative and flexible critical thinking skills
  • A strong customer focus as well as a positive and professional attitude toward assisting internal or external customers

Preferred Competencies

  • Understanding of Collective Agreements and the Labour Relations process
  • Reliable individual with excellent attendance record and able to work all shifts
