Objective & Overview:

Supports BSC & Country HR in tasks necessary to accomplish the organization’s service level agreement as it relates to physical documents in the Country. Supports relationships between vendors, BSC, HR and employees.

Responsibilities:

  • Safety: Implementation of Lafarge Safety Policies, and Compliance with Government Legislation. Support the Department H&S leadership with other functions and on sites
  • Incoming physical mail: Receive, sort, and distribute incoming daily mail (50-75 pieces per day, up to 150 pieces per day during yearend) Liaise with BSC, Country HR, SPOCs and Legal to advise and inform of tasks resulting from incoming mail such as tax notices, death certificates, documents needing notary, garnishments, union notices, union remittance sheets, refund cheques, H2R invoices, KRONOS cards, etc.
  • Filing: Ensures all documents are added to employee files, union files, and benefit files.
  • Remittance by courier and mail: Receives garnishments, union reports, benefit reports, unemployment claims and all other 3rd party payments from BSC and attaches with a physical cheque and sends via courier or regular mail.
  • Printing – mailing of Pay slips and Tax forms: Prints Canadian live cheques and pay slips (1200 per week) processed by the BSC and sends via courier or regular mail weekly.Prints and mails all US & CAN Year End Tax Forms (7500 US, 10,000 CAN)
  • Employee – vendor inquiries: Assists with supporting incoming documents for a scope of 14,000 employees across North America.Completes compliance forms from provinces, states, locals and government agencies and sends via regular mail. Sends letters and correspondence to employees drafted by BSC (benefits packages, overpayments, beneficiary forms, etc). Order office supplies. Communicates and promotes safety, compliance and environmental requirements in alignment with company standards.
  • Lay off processing: Handling and supporting the H2R team for employee’s layoff/STD benefits communications. Handling H2R communication for employee’s termination, LTD and STD.

Specific Accountabilities:

  • Ensure incoming mail is actioned daily and communicated according to criticality.
  • Works with Country HR and BSC to file employee and benefit related documents in a timely and efficiently.
  • Prioritizes documents and cheques to be sent via courier for union payments for US & Canada.
  • Executes the printing of 1200 pay slips and payroll cheques on a weekly basis and sends 17,500 tax slips on an annual basis.
  • Responds to inquiries and tasks sent by the BSC and Country HR


Qualification Profile:

Education and Work Experience:

  • High School or College Diploma
  • Minimum of 2 years of related experience required


Knowledge and Skills:

Computer Skills: Computer skills using Microsoft Office and various payroll and/or HRIS software.

  • Demonstrates good judgment and discretion in handling confidential information.
  • Strong organizational skills with focus on accuracy.
  • Ability to work under pressure and meet deadlines all the while being detail-oriented.
