Agilus is recruiting for a Facilities Coordinator / Administrator in the Oil and Gas industry in Calgary, Alberta.

This full-time contract position is responsible for providing operational support to the Facilities Management Team.

Responsibilities

  • Reconciles and codes all department invoices; Prepares and distributes sublease tenant invoices for the facilities team.
  • Manages first call resolution for all facility management requests; Periodically performs floor check inspections to ensure a safe facility condition.
  • Demonstrates a proactive approach to Environment, Health & Safety (EH&S) through participation in all applicable EH&S programs and ensures safe operation of the branch, team or unit and compliance with all Company EH&S policies and procedures.
  • Utilizes corporate ticketing systems (ServiceNow) for workflow management and tracking; Coordinates and schedules repairs and maintenance with outside contractors.
  • Liaises with facilities and building management. Addresses building maintenance concerns and reviews building maintenance issues (lighting, heating, electrical, cleaning), freight elevator booking for shipping/receiving and co-ordinates after-hours projects, etc.
  • Prepares, review, and/or edit various forms of correspondence such as letters, notices, invoices, and reports for the facilities team; Decommissions exiting employees.
  • Assists with corporate fleet services; Assists with restacks and maintains facilities floor plan.
  • Maintains monthly parking statistics, reconciliation of invoices and ; Maintains Business Forms/Cards program inclusive of form conception, production through to user access and invoice reconciliation of same parking access card listing; Provide Reception Desk coverage support when required.

Successful Candidates Will Have

  • 2-4 years facility management experience
  • Diploma/Certificate or secondary courses would be a definite asset.
  • Experience participating in EH&S programs and ensuring operational compliance with EH&S policies would be a definite asset.
  • Intermediate knowledge and proficiency of Microsoft Office software programs (Word, Excel, Outlook, Internet Explorer).
  • Strong customer service focus and the ability to communicate effectively with all levels of staff in the organization.
  • Ability to work in a team setting; Ability to work under pressure in a deadline driven environment; Ability to provide Reception Desk coverage when necessary.
  • Strong oral and written communication skills with proven ability to relate to employees at all levels; Good organizational and interpersonal skills.
  • Demonstrated attention to detail.
