Name And Description Of The Hiring Department

The FSOS Administrative Support Assistant is responsible for providing support to managers and their operational teams. He/She is responsible for recognition events, communications, change management, internal and external recruitment and various initiatives to increase team member engagement.

Job Duties / Accountabilities

  • Ensure communication with internal and external customers
  • Provide user support for all access requests and employee cards
  • Coordinate, with various internal and external partners, all components related to the organization of recognition events in the various FSOS work centers
  • Analyze and produce various reports
  • Coordinate and publish all district communications
  • Assist managers in the recruitment process
  • Provide support to internal customers and create various job aids
  • Create and publish bi-monthly, monthly and weekly newsletters
  • Make key decisions and propose innovative value-added solutions or recommendations to foster employee engagement
  • Create and coordinate newsletter content and provide visuals to engage readers
  • Analyze, clarify and resolve any discrepancies

Essential Qualifications / Competencies

  • Ability to plan and coordinate various projects under tight deadlines
  • Identify and resolve issues with various partners
  • Strong problem-solving and decision-making skills
  • Strong communication and collaboration skills
  • Intermediate knowledge of PowerPoint
  • Basic knowledge of Web Design tool Adobe Première Pro
  • Ability to communicate effectively verbally and in writing with internal and external customers
  • Ability to collaborate with all internal and external partners
  • Advanced leadership skills, ability to engage stakeholders, bring players together and make things happen
  • Knowledge of English required since maintaining professional relationships with English speaking stakeholders across Canada is critical to this position
  • Knowledge of French is required for candidates from Quebec

Preferred Skills/competencies

  • Excellent knowledge of Word and Excel applications
  • Good knowledge of PhotoShop
  • Ability to analyze data and databases
  • Change management skills
  • Bilingualism, English and French

Working Conditions

  • Remote profile with presence varying from twice a week to once a month
  • Must be present at the office during recognition activities
  • Work five days a week, Monday to Friday between 7:00 a.m. and 5:00 p.m.
  • Must be available Monday to Friday
