The Manager, Administration provides administrative guidance to the Scientists, trainees and staff of the department and performs a variety of duties to assist the Department Head in the day to day operation of the department. A large part of the responsibility of this position is to liaise with Faculty Relations, Human Resources/Payroll/Office of Research Services, Faculty of Medicine and other departments at UBC to ensure conformity with UBC policies and procedures, in addition to those of PHSA.


What you'll do


  • Manage the staffing needs for the delivery and support of services within the MO department, and is responsible for completing legally sound work with limited direction. Guidelines for this role are in the form of standards of practice, written directions and formal written agreements. Works with and can impact all levels of the Department (MO) making key decisions on matters that affect payroll, labour relations and staffing.
  • Use specialized process knowledge, manages the department’s UBC faculty recruitment, appointment, reappointment, promotion and tenure processes in collaboration with the appropriate UBC office; manages the endowed Chair agreements.
  • Prioritize work assignments, investigates, analyzes, proposes and implements solutions to administrative issues, including but not limited to staff hires, staff performance, compliance with Government of Canada (Citizenship & Immigration Canada, Human Resources and Skills Development Canada), Government of BC (Ministry of Labour, Employment Standards, Provincial Nominee Program) policies and finance. Makes recommendations based on specialized knowledge.
  • Provide input to the development and implementation of the strategic plan of the MO Department.
  • Provide input to the budget process. Where necessary, advises on corrective action based on available core and grant funding.
  • Investigate work and staff issues and where necessary initiates disciplinary action up to and including termination. Participates in the management of grievances and labour relations matters in consultation with PHSA HR and UBC HR as necessary.
  • Maintain the key links internally with all levels at BCCA, BCCF and PHSA and externally with a variety of individuals and national/international agencies such Canadian Breast Cancer Foundation, Michael Smith Foundation for Health Research, Canadian Breast Cancer Research Alliance, Genome Canada; international scientific networks (Cancer Research UK, Gairdner Foundation, Sanger Institute) educational institutions (UBC, SFU, UVic, BCIT), granting agencies and biotechnical companies.

Qualifications:


  • A minimum level of education, training and experience equivalent to a Bachelors in Business Administration and a minimum of five years leadership experience in an academic and/or research environment or an equivalent combination of education, training and experience.

  • Adaptability to changing needs as well as being able to work effectively with diverse groups of highly independent individuals.
  • Awareness of and commitment to learning and understanding the Truth & Reconciliation Commission’s 94 Calls to Action (2015), In Plain Sight Report (2020), BC's Declaration on the Rights of Indigenous Peoples Act (2019), and Reclaiming Power and Place Missing and Murdered Indigenous Women & Girls calls for justice, and how they intersect across the health care system.
  • Support team members on their learning journey, ensuring education strategy for team/department to implement Indigenous Cultural Safety at a practical level.
  • Work collaboratively with appropriate Indigenous teams/departments to ensure ICS lens applied holistically.
  • Have commitment to upholding the shared responsibility of creating lasting and meaningful reconciliation in Canada as per TRC (2015) and BC's Declaration on the Rights of Indigenous Peoples Act (2019).
  • Knowledge of social, economic, political and historical realities impacting indigenous communities and familiarity with Indigenous Cultural Safety and anti-racism and accompanying reports (BC DRIPA, TRC, etc.).

Job Type: Temporary, Full Time(Until December 31, 2025)

Salary Range: $67,861 – $97,550 per year. The starting salary for this position would be determined with consideration of the successful candidate’s relevant education and experience, and would be in alignment with the provincial compensation reference plan. Salary will be prorated accordingly for part time roles.
