Under the guidance of the Senior Operations Manager, the Shipping and Receiving Administrator helps facilitate the accurate and efficient handling of incoming and outgoing shipments. Maintaining inventory control and fostering positive relationships with internal teams and primary customers are key aspects of this role.

Responsibilities include

  • Accurately receive, inspect, and document incoming truck deliveries.
  • Assist the Operations Supervisor with the yard or warehouse team to organize and store incoming products efficiently.
  • Manage documentation, including bills of lading, and other relevant shipping documents.
  • Creating container files with all relevant documents.
  • Accurately prepare and process shipping documentation for outbound truck.
  • Monitor and track inbound and outbound shipments, providing updates to internal teams and customers.
  • Maintain controls to ensure accurate and appropriate inventory levels at all times using Inventory Manager.
  • Collaborate with the operations team to ensure timely and accurate monthly inventory counts for specific products.
  • Communicate effectively internal teams to ensure smooth operations.
  • Collaborate with various departments, including yard, office staff and customers to meet customer requirements.
  • Address and resolve shipping-related inquiries and issues promptly.
  • Relay all completed shipments, information of inbound/outbound receiving to the administrator.
  • Report any discrepancies or gaps in service to the supervisor.
  • Problem solve for cases of missing documents, shipments, deliveries, inventory outages etc.
  • Work in accordance with all Arrow, safety and other applicable regulatory policies and procedures.
  • Assist Operations Supervisor with respect to daily/weekly forecasts, as well as maintaining equipment utilization.
  • Other duties as assigned by the manager.
  • A minimum 2 years of administrative experience in an office setting
  • Previous inventory management experience preferred (ie. SAP)
  • Relevant post-secondary education and/or transportation industry experience is an asset
  • Computer proficiency – Microsoft Excel; ability to learn new software applications
  • Strong safety mindset
  • Demonstrates strong communication skills both verbally and written
  • Internal and external customer service skills
  • Problem solving skills
  • Strong work ethic, self-starter, and positive team attitude
  • Highly flexible, with solid interpersonal skills that allow one to work effectively in a diverse working environment
  • Strong organizational skills with a keen attention to detail
  • Ability to work outdoors and in the elements as required
