You will

  • Support the operations for the Industrial Portfolio and contribute to executing the vision of the assigned properties
  • Collaborate with the property teams to achieve operational efficiencies and excellence
  • Administer and monitor the performance of service contractors/trades ensuring the business plan standards are achieved
  • Act as the main point of contact for tenant inquiries and maintenance requests.
  • Establish strong relationships with tenants and provide a proactive, exemplary level of service.
  • Review, code and track accounts payables and prepare purchase orders as required.
  • Follow-up on tenant rental payments and assist the PM as required with rent collections. Disburse tenant invoices and respond to inquiries.
  • Collect tenant insurance certificates and ensure compliance to tenants’ leases.
  • Prepare Tenant Notices.
  • Assist the PM with tenant move-ins and tenant move-outs and sending out the necessary correspondence.
  • Maintain utility tracking and other operational reporting as required through portals .
  • Ensure preventative maintenance tasks are completed, and administer the online maintenance software
  • Manage the rent collection process and initiate appropriate action as required to collect arrears
  • Prepare purchase orders, review invoices, and provide A/P support as needed
  • Review tenant billings and year-end adjustments
  • Liaise with third-party service contractors/trades as required and assist PM with tendering contracts.
  • Participate in annual budget preparation and implement operating budgets, report variances, and enhance revenue opportunities
  • Administer and maintain timely organization of all files, contracts, and software programs
  • Assist with general administrative duties and projects
  • Be on call for property emergencies
  • Work collaboratively with other team members in leasing, asset management, construction, accounting, and development and all other stakeholders.
  • Miscellaneous other duties as assigned .

You have

  • 2+ years experience working in real estate management, with A/R and A/P experience.
  • Excellent communication skills, both oral and written.
  • Excellent organizational skills.
  • Strong knowledge of MS Office and Excel.
  • Previous experience with Building Engines an asset
  • Strong understanding of accounting programs and the ability to learn quickly.
