Position Description

Position Summary

This position provides critical administrative support for the Hamilton Regional Laboratory Medicine Program (HRLMP). Departmental activities are coordinated to ensure the smooth operation, in accordance with the policies and procedures of the hospital. The incumbent ensures that all operational functions are handled with efficiency, accuracy, professionalism and confidentiality.

Qualifications

  • Post-secondary diploma/certificate in medical office administration or equivalent combination of education and experience.
  • Medical terminology certificate preferred.
  • One (1) year experience working in a busy office setting, preferably in a laboratory environment.
  • Intermediate skill level is required for MS Word, Excel and spelling.
  • Typing speed must be at an intermediate skill level.
  • Clerical testing may be required as part of the selection process.
  • Departmental testing will be required for Access, PowerPoint, and Visio.
  • Familiarity with registration and scheduling database systems i.e.HBOC.
  • Knowledge of MS Project is a definite asset.
  • Knowledge of Laboratory Accreditation and Licensing are definite assets.
  • Must demonstrate adaptability to new software.
  • Demonstrated ability to accept responsibility, plan, prioritize and complete tasks with minimal supervision.
  • Effective communication skills and the ability to deal with the public with tact and diplomacy.
  • Excellent customer service orientation.
  • Ability to perform well as a contributing member of a team.
  • Good organizational and analytical problem-solving skills.

Responsibilities

  • Provides support to a variety of functions within the program, including reception services, workload statistics, report transcription, completion of timesheets, preparation of various billing statements, physician directory updates, etc.
  • Maintains the staff database, ensures accuracy of all entered data, and ultimately creates an annual staff directory, as well as generating staff fan-out lists as required.
  • Assists in word processing, formatting, communication and distribution of standard operating procedures in program specific quality software.
  • Records patient and test information into computerized Laboratory Information System and manually maintains hard copy patient and test records as required.
  • Completes and submits requisitions, following up accordingly.
  • Generates patient reports from Laboratory Information System, auditing for data entry errors and then dispatches reports.
  • Handles telephone and written requests from health care providers regarding status of laboratory test results, forwarding requests for interpretation of results to qualified staff member accordingly.
  • Maintains accurate files of reports and miscellaneous records in a prescribed manner.
  • Assists in meeting deadlines with special projects, arranging and attending meetings, compiling statistics and out-of-town travel arrangements.
  • Ensures all supplies and/or services required by the Program are adequately stocked and/or requisitioned in a timely manner.
  • Performs other office duties as assigned by the Manager or designate.

WAGE RATE

Hourly: $27.70.....$28.90......$30.11 (plus 14% in lieu of benefits)
