The Legal Assistant will collaborate with a team of Legal Assistants, following general instructions and standardized procedures, to provide administrative support to the OMERS Corporate Secretariat Law Clerks on all matters related to the smooth and successful functioning of the team. Additionally, the Legal Assistant will assist with other OMERS Corporate Secretariat and Legal Division staff members, as necessary.

Due to the strictly confidential nature of activities, the Legal Assistant must exercise high co-ordination, judgment and initiative to support multiple individuals and complex activities on behalf of the OMERS Corporate Secretariat. The successful candidate will have excellent communication skills and be proficient in legal software.

As a member of this dynamic team, you will be responsible for a combination of the following:

  • Working with a team of Legal Assistants to provide administrative support to the team of Corporate Secretariat Law Clerks.
  • Providing a full range of word processing and document production support, including editing, formatting, proofreading, and printing materials using Word, Excel, PowerPoint, and DocuSign.
  • Proactively drafting routine correspondence and corporate documentation using legal precedents.
  • Providing clerical support, such as Minute Book filings, updating and maintaining information and/or documentation in corporate databases according to internal records management policies for both paper and electronic formats.
  • Generating routine database reports, charts and editing organizational charts.
  • Preparing expense accounts, including allocating pre-determined cost codes to accounts and invoices.
  • Maintaining a tickler or reminder system, following up on assigned tasks and managing a team calendar.
  • Assisting other Corporate Secretariat, Corporate Counsel and Legal Division staff members, as needed.
  • Handling confidential and sensitive material with discretion.
  • Working independently with minimal supervision.
  • Working with the team to expedite workflow, prioritizing and coordinating tasks and deliverables.
  • Contributing to the Corporate Secretariat Team by scheduling meetings, appointments, events and/or presentation materials as necessary.

To Succeed In This Role, You Must Have

  • A minimum of 3 years of experience working in a law firm or in-house Legal department. Experience working as a member of a Corporate Secretarial team is an asset.
  • A degree from a college legal assistant program
  • Excellent written and verbal communication skills
  • Advanced Word processing skills, including Word, Excel, PowerPoint, and Visio
  • Proficient in legal software and document management system (EnGlobe, iManage, or equivalent)
  • Demonstrated ability to work as a team player, in a professional and courteous manner
  • Strong organizational skills and attention to detail
  • The ability to prioritize multiple tasks with a high level of initiative and minimal direction or supervision
  • The ability to recognize and resolve issues, or escalate when necessary
  • The ability to work under pressure while maintaining professionalism
