Description:

Working independently under the general direction of the Assistant Vice President, University HR (AVP, UHR), the HR Projects & Engagement Administrator provides a high level of support on a wide range of high-level confidential administrative and operational activities for the AVP and the Directors in the University HR team. The incumbent has full responsibility for providing a high level of executive secretarial, administrative and logistical support, including assisting with various HR-related projects, employee recognition and engagement initiatives, and Divisional events and speakers. The broad scope of this position is driven by the complex range of responsibilities undertaken by the AVP and the leadership team in UHR.

More specifically, the incumbent’s responsibilities include managing all aspects of the complex and intensive appointment schedule and provides seamless administrative support to the Assistant Vice President, University HR and the Executive Director, Central Administrative Human Resources and Workplace Investigations (ED, CAHRS & WPI). The incumbent conducts background research and briefings in preparation for meetings or in response to various issues; prepares and edits a variety of frequently complex and confidential materials, exercising considerable judgment in releasing information to answer queries and resolve issues.

The incumbent’s responsibilities also include supporting UHR Directors with various administrative duties; preparing and editing a variety of complex and confidential materials; providing issues management support; coordinating meetings and arrangements for standing HR committees and other special functions; collating materials and reports; drafting correspondence; coordinating events; overseeing filing systems; assisting with training sessions, and performing other related duties based on the understanding of the portfolio and priorities.

The incumbent also provides administrative support for the delivery of several University-wide recognition and engagement programs under the guidance of the Engagement & Events Consultant. This includes program reporting and analysis, supporting the award selection processes, preparing communications and correspondence, and managing the physical inventory of award program supplies.

The incumbent provides administrative and on-site support on the planning and execution of in-person, virtual, and hybrid events for the Division.

The incumbent provides administrative and client support for the University’s peer-to-peer recognition platform, including answering/directing customer requests, providing monthly, annual and ad hoc reporting on usage and overseeing the True Blue Monthly Award program.

The incumbent works in a complex environment that requires a high degree of sensitivity, responsiveness, and a need to maintain absolute confidentiality.

Qualfiications Required:

EDUCATION:

University degree in a relevant field of study; working towards Certificate in Human Resource Management (CHRP) would be an asset, or an equivalent combination of education and experience.

EXPERIENCE:

Minimum of two to three (2 – 3) years’ experience working related experience in administration and project coordination preferably within an HR environment. Familiarity with academic environment preferred.

SKILLS:


Proficiency in word processing and spreadsheet applications; Proficiency with MS Office, scheduling and e-mail software; typing speed of 70 wpm; Familiarity with SharePoint an asset.

Superior oral and written communication, interpersonal, analytical, decision-making and organizational skills; Demonstrated ability to draft clear and concise correspondence; Strong customer-service orientation; Demonstrated initiative, accuracy and meticulous attention to detail; Demonstrated judgment, tact, discretion and ability to handle complex matters of a sensitive and confidential nature; Ability to organize a heavy and fluctuating workload in a changing environment; Ability to work under pressure and to meet deadlines; Ability to creatively problem solve with a team; Ability to assimilate and interpret significant amounts of information; Ability to work effectively and professionally, both independently and within a team environment.
