The Licensing Assistant Administrator is responsible for supporting our Licensing Manager with the administration of sales advisor applications for Life and Accident and Sickness Insurance licenses and Errors and Omissions Insurance. This responsibility extends to managing renewals of these licenses and reconciliation of monthly licensing corporate expenses.


The Licensing Assistant will have excellent organizational and communication skills, working collaboratively with internal sales advisors and our external insurer partners to ensure the application process is handled efficiently. The role entails handling confidential information, and therefore the Licensing Assistant must demonstrate the highest degree of integrity.


Duties & Responsibility

  • Onboarding Support: Positively welcome new Sales Advisors to the business, creating a great first impression of Neilson.
  • Licensing Administration: Participate in the onboarding of Sales Advisors by requesting information required for their licensing applications and providing practical support with electronic and paper-based application processes.
  • Insurance Coordination: Help Advisors secure Errors and Omissions Insurance and assist with annual renewal applications.
  • Renewal Management: Assist with license and insurance renewal notifications and support renewal applications.
  • Record Maintenance: Update the SSRS system, tracking sheets, and Advisor folders to ensure a complete and accurate audit trail of licenses and insurance.
  • Expense Reconciliation: Monthly reconciliation of corporate credit card expenses.
  • Refund Processing: Process advisor refunds for expenses incurred by completing the expense report.
  • Offboarding Support: Offboard Sales Advisors when they resign or are let go from Neilson.

Skills, Knowledge & Experience 

  • Minimum of 2 years’ experience within a business administration function. Previous insurance licensing experience is desired but not essential.
  • Proven ability to interact and communicate effectively over the telephone and face-to-face in a clear and professional manner.
  • Ability to work well under pressure and meet deadlines.
  • Skilled PC and Microsoft Office user.
  • Accuracy and attention to detail are required.
