Bilingual Program Assistant - Contract - 17664

About The Opportunity

Our private sector client is seeking a Program Assistant for a 5-month contract, with the potential for extension (hybrid work arrangement). The Program Assistant will play a key role in customer service, information processing, and administrative support.

Duties include but are not limited to:

  • Provide program and procedural information upon request from clients
  • Correspond in both official languages to respond to email and telephone inquiries from the public
  • Use judgment in determining if a request for information should be addressed or redirected
  • Provide feedback to improve client services
  • Carry out scheduled program tasks as determined by supervisors
  • Handle mail, faxes, and courier packages and distribute accordingly
  • Monitor submissions, acknowledge applications and renewals; verify for completeness and follow-up when required with applicants
  • Ensure accuracy of application information as appropriate in the database
  • Produce reports, lists and emails as required
  • Support the preparation, formatting, translation and disbursement of meeting materials (e.g., assembling information packages, take notes and support the preparation of meeting minutes as required as well as technical support during meetings)
  • Provide suggestions to improve technical, policy and administrative procedures in team meetings
  • Other duties as required

About You

The successful candidate will have the following:

  • College Degree in office administration
  • Minimum of 1 year of relevant experience
  • Exceptional oral and strong written communication skills, in both official languages (French & English)
  • Excellent attention to detail
  • Be proactive and flexible
  • Ability to multitask in an often high-volume and fast-paced environment
  • Ability to work under pressure and to meet firm deadlines
  • Ability to deal effectively/politely with stakeholders
  • Strong interpersonal skills
  • Strong computer skills, experience with Office tools and with databases and reporting

About the Job

This is a contract opportunity offering between $24.00 to $27.00 on an hourly basis.
