The Senior Billing Coordinator will be responsible for assisting in all phases of client billing. This includes prebill & bill preparation, bill submission, analyzing client bill appeals, tracking outstanding issues for resolution, high level issue resolution including engagement of internal and external stakeholders, utilizing various reports to stay organized, internal records management and communication with clients and Osler lawyers in relation to billing. This role requires an intricate knowledge of the billing & eBilling workflows, Firm billing processes, relevant systems and stakeholders. As a Senior member of the Billing Team, you will be relied upon to deliver support and training to other Billing Team members.

Major Responsibilities

  • Reviewing prebills and working with Osler Partners to issue bills
  • Track, follow-up and handle any billing related issues or delays
  • Handle client billing inquiries
  • Responsible for overseeing billing for the Calgary and Toronto office
  • Responsible to provide billing support to members of the Calgary and Toronto office
  • Face of the Billing Team for the Calgary and Toronto office, ability to interact comfortably with all Firm members while providing “white glove service”
  • Provide regular reporting to the Management Team to track progress on efforts and ensure all pending tasks are handled in a timely manner
  • Create training materials and provide insights to internal stakeholders
  • Being actively involved in any billing process improvements including implementing and testing of system enhancements
  • Provide back up and support for other Billing Team members during absence and vacation
  • Providing billing technical support and guidance to internal and external stakeholders
  • Acting as subject matter expert for billing and provide training to new team members
  • Maintain accurate client and matter information to ensure future billing success
  • Review of client billing guidelines to ensure the Firm is complaint with the client’s guidelines
  • Train timekeepers and legal assistants on the Firm’s various billing software tools
  • Ensuring all items are handled prior to each month end financial close cycle

Position Requirements

Education and Experience

This position requires a college diploma and a minimum of three to five years of billing experience. Experience in other accounting or finance roles may be considered. Experience in a legal or professional services environment is preferred. An equivalent combination of education, training, and experience may be acceptable.

Knowledge and Skills

  • Knowledge of Aderant, eBillingHub & Prebill Viewer is considered an asset
  • Experience with ERP systems
  • Experience providing service in a fast paced legal environment
  • Strong Microsoft Excel skills are an asset to create spreadsheets for review and tracking data
  • Excellent communication and problem solving skills are required
  • Analytical ability to identify issues and drive resolution results
  • Positive attitude, patience, resilience and a sense of humour
  • Strong personality to work with all types of individuals

We are currently working in a hybrid work arrangement, which includes a requirement to work primarily in the office and flexibility to work remotely up to 2 days per week.
