Responsibilities:

  • Manage residential and commercial real estate files from initiation to closing.
  • Process purchase transactions, including preparing mortgages, refinancing, and other supplemental documents, as well as interim and final reports.
  • Prepare statements of adjustments and ensure timely reporting to mortgagees and purchasers.
  • Handle sale transactions by preparing trust letters, managing deposit funds, and coordinating closing dates.
  • Maintain and organize client files, ensuring critical deadlines are diarized and met while preparing client accounts and correspondence.
  • Utilize conveyancing software to manage correspondence and documentation related to real estate files.
  • Serve as a liaison with realtors, financial institutions, clients, and other law firms to facilitate all aspects of real estate transactions.
  • Foster and maintain positive relationships with clients, bankers, realtors, and other key stakeholders involved in transactions.
  • Schedule client appointments and manage related administrative tasks.

Qualifications:

  • Post-secondary diploma or certificate from an accredited paralegal/legal assistant program (successful career history will be considered)
  • Experience in residential and commercial real estate is preferred however we are prepared to train a qualified candidate if missing one of these
  • Self-motivated and proactive, with a strong commitment to teamwork and independence.
  • Positive attitude with sound judgment and decision-making skills.
  • Excellent attention to detail, time management, and organization.
  • Proficient in Microsoft Office, Outlook, and document management systems.
  • Maintains professionalism, confidentiality, and discretion.
  • Strong interpersonal skills, able to interact confidently
