Front Desk Coordinator

Description

We are offering an opportunity for a Front Desk Coordinator in the healthcare industry, located in Vancouver, British Columbia, Canada. This role involves providing administrative support, managing front desk operations, and ensuring a smooth workflow within our office environment. This position offers a short-term contract employment opportunity.

Responsibilities

• Answering and directing phone calls to the appropriate recipients.
• Scheduling and coordinating meetings, ensuring no double bookings.
• Handling general email management and IT requests.
• Ensuring the office spaces are tidy and ready for use, including the kitchen and meeting spaces.
• Monitoring and maintaining office supplies, including ordering coffee and other necessary items.
• Managing the sign-in sheet and keeping track of office attendance.
• Coordinating and managing office-related tasks, including opening and closing the office.
• Handling customer service related tasks, including addressing inquiries, and maintaining customer records.
• Utilizing Microsoft Office Suite for various administrative tasks.
• Ensuring all safety measures are adhered to within the office environment.
  
  

Requirements

• Proven experience in Administrative Assistance is mandatory
• Proficiency in using a Multi-Line Phone System is required
• Prior experience in providing Concierge Services is beneficial
• Strong Customer Service skills are necessary
• Ability to perform Data Entry tasks efficiently and accurately
• Excellent Interpersonal Skills
• Proficiency in Microsoft Excel, Microsoft Outlook, and Microsoft Word
• Experience in Organizing Files and maintaining records
• Ability to work in a fast-paced healthcare environment
• Knowledge of healthcare industry protocols and regulations is a plus
• Ability to handle sensitive patient information with confidentiality
• Strong problem-solving skills and ability to make decisions under pressure
• Ability to communicate effectively with patients, families, and healthcare team members
• Demonstrated ability to handle multiple tasks simultaneously
• Ability to work independently and as part of a team
• Flexibility to work in shifts, including evenings and weekends if necessary.
