Service New Brunswick is seeking an individual to join the Health Services Division in the Clinical Engineering Branch as an Administrative Assistant at the Saint John Regional Hospital.
Reporting to the Manager of Clinical Engineering, the successful candidate will be responsible to provide administrative support to the Clinical Engineering department within the operational area. The successful candidate will be responsible for, but not limited to, the following duties and responsibilities:
Primary Duties
- Receive calls relating to required Medical Equipment service.
- Receive Medical Equipment at department and arrange return after service completion.
- Generate work tasks and record 3rd party documentation in department's Computerized Maintenance Management System (CMMS)
- Provide payroll support for department.
- Perform receptionist duties, telephone support, direct calls, and take and relay messages.
- Perform general office duties such as data entry, filing, photocopying, faxing, and processing mail.
- Schedule appointments and organize meetings and events.
- Maintain a clean and safe work area.
- Demonstrate to others how to perform tasks and functions as part of orientation and training.
- Deliver excellent customer service when interacting with our customers.
Adhere to corporate policies and procedures Secondary Duties
- Process requisitions for replenishment of general inventory items.
- Generate purchase orders in a computerized system to renew standing orders and replenish based on inventory control system.
- Ensure requisition information is complete and properly authorized.
- Place orders with materials management with approved vendors.
- Identify suppliers and purchase substitutes when required.
- Placing and tracking orders and notify receipt and delivery specifics to technical staff.
- Respond to customer inquiries and follow up on orders when required.
ESSENTIAL QUALIFICATIONS:
- Must possess a post-secondary education of one (1) year and a minimum of three (3) years of related work experience.
- Solid experience in the use of Microsoft's Office Suite and Windows software is required.
- Written and spoken competence in English is required. Please state your language capability.
ASSET QUALIFICATIONS:
- Experience in the use of Meditech and Kronos software

OPERATIONAL REQUIREMENTS:
- Candidates will be required to undergo a Criminal History Clearance prior to appointment.
