The Administrative Assistant is a high-profile position whose mandate is to support two District Vice Presidents. He/she contributes to the overall success of the branches by greeting customers and directing them to the right resource, taking and relaying branch messages, producing documents, reports and presentations, and providing general administrative support in an accurate and timely manner, while adhering to Scotiabank's operational and security policies and procedures. The Administrative Assistant provides customer service in accordance with the Bank's service standards and complaint resolution procedures.
Is this role right for you? In this role you will:
- Management of meetings and receptions
- Greet visitors in a courteous manner and escort or direct them to the appropriate employee
- Sort out unscheduled or walk-in visitors.
- Answer incoming calls promptly and professionally, redirect callers to the correct person or offer to take the message or redirect calls to the person's voice mail following department procedures.
- Receive and sign for deliveries and organizes courier service.
- Track, order, and store office supplies, arranges off-site storage, and arranges for destruction of files and records.
- Write letters and replies to routine correspondence.
- Assist with other administrative duties in the unit as needed, such as maintaining key log and department logs
- Contribute to the quality and efficiency of the Bank's operations as well as compliance with regulatory requirements and adherence to the Bank's internal guidelines to reduce risk exposure.
- Develop and produce a wide range of standard as well as unique and complex documents and forms for authorized department users, and ensure that all materials produced are properly maintained and filed.
- Comply with regulatory requirements as part of the service process, including Know Your Customer (KYC) requirements, processes and guidelines, Canada Deposit Insurance Corporation (CDIC), Financial Consumer Agency of Canada (FCAC), Anti-Money Laundering and Combating the Financing of Terrorism (AML/CFT), Privacy, Occupational Health and Safety (OH&S), as well as Scotia Investments Inc. (SII) guidelines and processes.
Do you have the skills that will enable you to succeed in this role? – We’d love to work with you if you:
- Strong knowledge of Microsoft Office Word, Excel and PowerPoint.
- Bilingualism in French and English is required. Pursuant to a language needs assessment conducted by Scotiabank, the successful candidate will be required to be able to communicate in English in addition to French because they will be required to work closely with other groups from head office who operate primarily in English, and/or they will serve an English and French-speaking clientele.

- Ability to manage several files at once
- Excellent priority management skills
- Minimum of 5 years experience as an executive assistant (an asset)
- Working knowledge of the Bank's products and services for individuals and businesses (an asset)
