Touchstone Institute is a non-profit corporation governed by a board of directors and receives financial support from the Government of Ontario. Currently implementing a growth strategy, Touchstone Institute looks to expand its impact in supporting broad health human resource solutions and by strengthening effective practice of health care professionals. Nearly 40 full-time staff contribute to the success of the organization, including experts in competency design and assessment, as well as health and education program development.

Touchstone Institute works closely with physicians, nurses and other healthcare providers who provide subject matter expertise to assess and improve the level of competency across individual practice. Building on its history of working to facilitate entry to training or practice for Internationally Educated Health Professionals, Touchstone Institute seeks to continue the work in this area while expanding to support excellence in competent practice for all who deliver health care.

About Practice Ready Ontario (PRO)

Funded by the Government of Ontario, Touchstone Institute works closely with the College of Physicians and Surgeons of Ontario, the Medical Council of Canada, and others while administering the PRO program. PRO is a workplace assessment program that aims to add internationally trained family physicians or general practitioners who have completed post-graduate training and have an established track record of work in another country to practice in rural communities in Ontario.

Position Description

Reporting to the Manager, the Senior Program Coordinator plays a key role in the successful implementation and management of Phase 3 of the PRO program. While guiding a team of Coordinators, they will oversee all aspects of program delivery, including recruitment, assessment, and data management.

Key Accountabilities

Program Execution

  • Oversees the successful administration of field assessments, including site recruitment, liaising with assessor/candidate, and overall program delivery.
  • Develops and implements strategies to enhance program quality and efficiency, aligning with the business needs of Touchstone Institute.
  • Contributes to the development of the program by providing input and recommendations to the Manager and Director.
  • Assigns tasks to coordinators and ensures multiple priorities are handled in an appropriate manner.
  • Develops project plans, timelines and budgets relating to program development work
  • Acts as the main point of contact for any issues pertaining to the Practice Ready Ontario Clinical Field Assessment and Candidate Orientation

  • Oversees the approval and payroll process for assessors

Process Improvement

  • Works to draft and coordinate policies, standard operating procedures, and process documents
  • Develops and implements continuous improvement initiatives for program policies and procedures.
  • Creates and manages project plans and timelines to support program delivery.
  • Collaborates with internal departments and external vendors as needed to ensure smooth program operations.
  • Updates the Manager regularly on any issues that may affect program timelines and candidate or assessor experience

Data Management and Analysis

  • Tracks candidate progress using appropriate software, identifying areas for improvement and suggesting necessary software modifications.
  • Generates reports to evaluate program progress and measure performance against articulated goals and coordinate necessary reporting for clients, funders, and other internal and external stakeholders
  • Ensures the quality and accuracy of candidate data and information.
  • Contributes to internal and external program reporting.
  • Performs other tasks as assigned.

Position Requirements

  • Advanced knowledge of Microsoft Office Suite
  • Knowledge of Project Management principles and tools
  • Knowledge of and experience with Learning Management Systems an asset
  • Project coordination skills to lead, develop, plan, implement, and evaluate projects
  • Strong oral communication skills – speaks clearly and persuasively in positive or negative situations, listens and gets clarification if needed, responds well to stakeholder inquiries
  • Advanced written communication skills – writes clearly and informatively, edits work for spelling and grammar, varies writing style to meet the needs of various audiences, presents numerical data effectively
  • Well-developed critical thinking skills to identify key issues and propose solutions
  • Self-directed with the ability to independently prioritize tasks and set goals
  • Demonstrated ability to process multiple types of information, perform multiple tasks simultaneously, and prioritize
  • Exhibits objectivity and openness to others’ views – welcomes feedback, contributes to a positive working environment, supports the organizations efforts to succeed

Qualifications

  • University degree or college diploma in education, health sciences or a related field
  • Minimum 3-5 years’ experience in a project coordination or management role
  • Experience working with healthcare organizations is an asset

We follow a hybrid work model with two designated in-office days: Tuesdays and Wednesdays. Successful candidates must be available to work on-site during these days.
