Your Opportunity:
The Manager of Operations is a key member of the Office of the Vice-Principal Research & Innovation (OVPRI) leadership team, supporting a wide range of high-level and confidential activities related to OVPRI operations. Reporting to the Director, the Manager is responsible for efficiently managing OVPRI's operational administration and financial functions and providing project management support for various initiatives and projects.
In this role, the Manager will design and implement processes, tools, and project plans to optimize the OVPRI's function. They will also ensure that the OVPRI's senior leadership is well-informed and prepared for governance-related cycles and requirements. Collaborating with other team members, the Manager will lead data management, proactively identify potential risks, and develop mitigation strategies. Additionally, the Manager will be responsible for developing briefing materials, presentations, and speaking notes, and providing advice and recommendations based on research and analysis. They will liaise with senior staff at the university and external parties as needed, communicating decisions and coordinating responses.
The Manager will lead and build a team of administrative staff to support departmental objectives and will have full managerial authority related to human resource management, including organizational design, assignment of work, and the hiring, performance management and professional development of staff.
In conjunction with the Director, OVPRI, the Manager will oversee budget development, planning and analysis for all the OVPRI budgets, inclusive of operating funds, and develop short- and long-term forecasts for projects and department resources based on an understanding of the operational goals of the OVPRI.
The Manager will manage budgets based on an understanding of resources needed for the OVPRI and its initiatives and provide strategic advice with respect to the financial management to the VPRI, Director and various OVPRI stakeholders by explaining financial issues and ensuring relevant information is communicated in a timely manner.
Qualifications Required:
I. EDUCATION:
Undergraduate degree required, or an equivalent combination of education and experiences. Project Management Certificate an asset; graduate degree (Master’s or PhD) an asset.
II. EXPERIENCE:
A minimum of five years of related senior-level administrative support experience, preferably in an academic and/or research environment; strong financial management skills and proficiency with generally accepted accounting practices and principles, with the proven ability to effectively manage short-term and long-term financial plans, priorities and objectives; experience with strategic planning, financial planning, change management and process development and implementation; demonstrated experience with effectively managing and developing staff; demonstrated experience in liaising with senior administrators, responding to and handling matters of a complex, confidential, and highly sensitive nature.
III. SKILLS:
Excellent communication skills (written and oral), project management skills, and analytical and problem-solving skills are required. Advanced computer skills in Microsoft Office (must be able to set up templates and macros in Word and Excel, set up Excel spreadsheets and graphics, prepare sophisticated PowerPoint presentations, knowledge of SharePoint), Internet, Acrobat, and scheduling software
IV. OTHER:
Superior critical thinking, analytical and problem-solving skills; political acuity and judgement; ability to engage with senior University administrators and academics in a manner which facilitates cooperation and consensus building; ability to work independently with a high degree of initiative, discretion and tact; excellent facilitation, presentation and leadership skills; creative, self-directed, innovative, results-oriented; flexibility and problem-solver orientation; detail-oriented; balanced with a big-picture perspective; ability to work under pressure; superior organizational and time management skills in planning, task coordination; strong leadership capabilities; and a solid understanding of project management.
