What We’re Looking For

Reporting to the Senior Manager, the Administrative Coordinator, Business Support Services provides top tier administrative support and works together with a team of Administrators that support the business through Office Management, General administration, Management Support, Facilities, Mailroom and Reception.

As an Administrative Coordinator, you will ensure all support activities are carried out efficiently and effectively to ensure our clients’ needs can be met. You are an outstanding communicator both orally and in writing, detail oriented and are committed to maintaining confidentiality and professionalism.

This will be a full-time 1-year contract opportunity with the potential of full-time permanent employment concluding it's duration.

Requirements

To be successful in this position, the candidate must be fully proficient with the Microsoft Office suite of products (including Outlook, Word, Excel, PowerPoint) and should be comfortable with Excel formulas. Strong attention to detail and has an analytical mind with strong problem-solving skills.

You have a natural affinity towards keeping both others and yourself organized. You understand how to coordinate a variety of team tasks. You embrace a workplace culture that values entrepreneurship, integrity and hard work.

  • 3+ years of experience in a senior administrative position
  • A team player with leadership skills
  • Ability to exercise good judgment, show initiative and be proactive
  • Valid Driver’s License and access to personal vehicle
  • Physical requirements - lift heavy articles above head while shelving, up to 40 lbs. - Push mail cart, file boxes

A Day in the Life

  • Office Management To ensure efficient operations of the office and administrative processes, your duties will include:
    • Coordinate service and support of Business Machines (printers, copiers, mail machines)
    • Maintaining file storage and archiving routines according to retention guidelines
    • Administration and understanding of access control systems, both at Still Creek and at the branches
    • Requesting and Deactivating portal logins for all employees
    • Coordinate Catering for onsite meetings (incl. payment, set up and supply ordering)
    • Business card approval and payment processing
    • Membership in Joint Health and Safety committee

  • Business Support Team Coordinator Working closely with the Manager, you will act as a leader on the Business Support Services Team, to:
    • Become capable in all BSS team tasks and support your team-mates; act as a back-up for other BSS roles for vacation relief
    • Provide guidance to support engagement and a cohesive team
    • Advise and implement ways to gain efficiencies and streamline processes
    • Assist with special projects as needed

  • Administration
    • Inputting and auditing transactions into client database accurately as part of an invoicing process.
    • Creating daily cheque requests to ICBC
    • Submit Invoices to Accounting for Payment
    • Finance and Accounting Support
    • Coordinate the Insurance Licensing Process for all Licensees

The expected salary range for this position is $45,000 to $55,000 and will be impacted by factors such as the successful candidate’s skills, experience and working location, as well as the specific position’s business line, scope and level.
