SUMMARY
Reporting to the Director of People & Culture, the Office & Administrative Coordinator at Daiya is responsible for ensuring the smooth and efficient running of the office. This role serves as the central point of contact for office-related inquiries and is pivotal in supporting day-to-day operations, administrative tasks, and partnering with the People & Culture team to coordinate events. The ideal candidate is highly organized, proactive, and skilled in managing multiple responsibilities in a fast-paced environment, with an emphasis on critical thinking and problem-solving.

JOB RESPONSIBILITIES
Office Management
- Oversee daily office operations, including maintaining office supplies, coordinating meeting rooms, and managing relationships with external vendors to ensure seamless office functionality.
- Support budget tracking and office-related expenses, assisting in planning and identifying cost-effective solutions for operational needs.
- Serve as the first point of contact for visitors and general inquiries, creating a warm, welcoming, and professional environment.
- Greet and assist visitors, clients, and employees in a professional and friendly manner, ensuring a positive first impression.
- Collaborate with the People & Culture team to plan and execute company events, meetings, and office-wide communications, ensuring all logistics run smoothly.
- Coordinate and support logistics for company events, meetings, and celebrations.
- Act as the liaison between the company and building management for maintenance or facility issues, ensuring a clean, safe, and well-organized office environment.
- Coordinate with vendors for facility maintenance, repairs, and renovations as needed.
- Manage relationships with office suppliers and external vendors, ensuring timely and cost-effective delivery of services and products.
- Oversee office supplies inventory and place orders to replenish stocks as needed.
- Manage facilities security, including issuing employee and visitor badges, and collaborate with IT to ensure security measures are maintained.
- Provide regular office facilities communications and announcements, keeping employees informed of policies and procedures.
- Collaborate closely with the OH&S Committee to ensure the office facilities meet health and safety standards.
- Working towards a relevant degree, diploma or experience in business administration or communications
- At least one (1) year of experience in administration support, customer service, or office management
- Exceptional and enthusiastic customer service skills and compassionate can-do attitude
- Strong working knowledge of Microsoft Publisher and other applications including Outlook, Excel, Word
- Able to work autonomously and with minimal supervision
- Excellent interpersonal skills, with the ability to collaborate effectively and independently.
- Proven ability to handle multiple projects in a fast-paced environment.
- Demonstrated analytical, problem-solving, and decision-making abilities to resolve inquiries and issues effectively.
- Strong organizational and time-management skills, with the ability to prioritize under tight deadlines.
