Job Summary:
The Payroll Assistant supports the payroll team on payroll processes for all employees. This position sorts and organizes all payroll change forms, employee information changes and benefit forms. They also manage the Bring Forward Payroll system for all payroll changes, calculates and enters payroll and benefits information into a computerized payroll system, and verifies output. Additionally, they generate, balances and distributes a variety of payroll and benefit reports, cheque advices, and statistical summaries.
Duties & Responsibilities:
- Receives and approves payroll submitted forms in Oracle HCM, including items such as changes to TD1’s, addresses and personal information, timecards and Spending Account.
- Maintains and gathers information, calculates and enters payroll and benefit entries including (Central Vehicle Agency) CVA, Temporary Performance of Higher Position Duties (TPHD), Overtime, Dental Benefits, New Hire Information, employee increments/merit increases, vacation time adjustments, Guusto, Long Service Recognition, personal computer (PC), home and assisted device and Fitness Equipment purchases.
- Responds to inquiries from staff concerning payroll or redirects to other team members.
- Maintains multiple payroll related processes and transactions including the WCB Claim process, Union Leave process and (Job Evaluation Committee) JEC processes, all employee personnel and payroll files (including filing of bi-weekly payroll documents), employee work schedules in Oracle HCM, and knowledge of payroll guidelines and Oracle HCM, including documenting and updating procedure manuals and forms, as required.
- Dental Administrator for enrollment of new hires.
- Manages the Bring Forward system for all payroll changes.
- Prepares reporting, including month-end, quarterly and yearly reports including reconciliations, time in lieu and vacation excess. Also includes balancing vendor reports and prepare cheque advices to vendors.
- Provides support and/or coverage for Senior Payroll Specialist, as required.
Qualifications:
Two (2) years post-secondary education including classes in payroll, finance, accounting and/or office education.
Supplemented with one (1) year successful experience demonstrating the ability to do the following:
- Payroll calculations, including pay adjustments, overtime, overpayments, increments and tax calculations.
- Generate financial information into spreadsheets – including reports and statistical summaries.
- Typing speed of 35 net words per minute.
- A proven ability to organize work and complete assigned tasks efficiently, accurately and within established deadlines.
- Proven ability to follow policies and procedures including Canadian Revenue Agency (CRA), labour legislation, Canadian Payroll Association (CPA) guidelines, benefit policies and the collective bargaining agreement.
- Demonstrated sound judgment and a high level of clerical ability.

Salary Range: $47,244.60 - $60,303.36
