WHAT'S THE JOB?

The Travel Coordinator is responsible for the full-cycle transportation of employees travelling to and from our site locations in areas including Northwestern Ontario, Manitoba and Nunavut. 

Responsibilities include:

  • Organize and communicate travel arrangements for employees from point of origin to site locations in Manitoba, Northwestern Ontario, and Nunavut such as air travel, hotel accommodations, and ground transportation
  • Escalate any traveler requests or concerns to the appropriate supervisor or manager
  • Send return-to-work email to all scheduled staff and ensuring site requirements are met through the monitoring of returned Fit For Work forms
  • Use corporate travel platform to book various types of travel including hotel, flights, car rentals, et. while minimizing cost to the company.
  • Prepares travel itineraries and distributes travel arrangements and schedules to all scheduled drivers
  • Organize drivers: scheduling, preparing travel routes and instructions, and maintaining an up-to-date driver’s manifest of staff travelling in and out of each site
  • Maintain an inventory of company vehicles
  • Coordinate safe journey management plans
  • Invoicing: create and submit purchase orders
  • Provide support to the logistics team as required
  • On call and weekend support as needed
  • Maintain point of contact / dispatch safety services with drivers and transportation vendors
  • Adhere and maintain compliance with Dexterra Group and Horizon North policies and procedures
  • Ensure that workplace’s health and safety requirements upheld
  • Maintain accurate and up-to-date travel records using internal tools and software


WHO ARE WE LOOKING FOR?

The Travel Coordinator is an experienced, self-starter who possess effective skills in communication, time management and critical thinking. 

Requirements:

 

  • High school diploma required; some higher education preferred
  • Valid G class drivers license with clean drivers abstract is required
  • Previous training and experience with ELITE or similar travel software highly preferred
  • Excellent verbal and written communication skills
  • Strong working knowledge of the travel industry
  • Excellent decision-making skills with the ability to assess multiple options and to identify the best choice to serve a specified goal
  • Excellent organizational skills and attention to detail
  • Proficient with Microsoft Office Suite or related software

Work schedule and remuneration: 

The Travel Coordinator works a schedule of Monday-Friday, 8:30am-5:00pm with some on-call and weekend coverage required. An hourly rate of $24.00 is included and health and dental benefits are effective upon hiring.
