Opportunity
MacEwan University is seeking two Administrative Assistants for full-time continuing opportunity with our Faculty of Arts & Science. As the Department Administrative Assistant you will be the first contact in the Department for students, faculty and staff seeking information about the Department. It is imperative you are knowledgeable about appropriate policies, procedures and practices of the Department, Faculty and University. You will work closely with the Chair ensuring administrative needs for the Department are effectively met and must have a clear understanding of the yearly Departmental cycle to manage time and tasks appropriately and ensure continuity within the Department.
Key responsibilities include:
- Supporting the Department Chair with responsibilities related to sessional hiring, course and exam scheduling, course outline review, grade collection, meeting support and minute taking;
- Handling general departmental communication, ensuring the departmental drive is up-to-date, retaining and destroying records per FOIP guidelines
- Performing reception duties, event support, liaising with facilities and other stakeholders;
- Updating databases and spreadsheets, ordering supplies, assisting with textbook orders and office arrangements;
- Monthly personal procurement card reconciliation and generating expense reports;
- Verifying codes, and records checks, requisition and invoices to forward to financing for processing;
- Managing the meeting schedule and supporting virtual meetings;
- Providing office technology support for hardware and software;
- Maintaining reports of hazardous conditions, near misses and injuries as per University policy and legislated requirements;
- Maintaining first aid supplies, first aid training lists, and workplace safety bulletin boards; and
- Managing departmental bookable space, document creation, student support (e.g. gateway exams, liaising research and lab inquiries), and maintaining updates to Department web page.
SKILLS
You will have:
- Attention to detail and the ability to effectively solve problems;
- Developed organizational and time management skills;
- Strong written and verbal communication and interpersonal skills;
- Critical thinking skills, with a strong focus on customer service and professionalism;
- High computer proficiency, including advanced knowledge in Microsoft Office Suite and working knowledge in PeopleSoft;
- The capability to multi-task, to handle frequent interruptions, and to work with minimal supervision under changing priorities;
- The ability to exercise judgment and discretion while being proactive and goal-oriented; and
- The ability to work independently as well as to take direction in a team environment.
QUALIFICATIONS
- An Office Administrative Diploma or equivalent education/experience
- A minimum of three years’ experience in an increasingly responsible administrative or relevant capacity.
- Experience working in a post-secondary institution or a related public sector environment is preferred.
- An equivalent combination of education and experience may be considered.
