JOB DESCRIPTION
Job Title: Medical Office Assistant
Reports to: Dr. Shubhi Singh, Otolaryngologist
Date: Effective January 2, 2025
JOB PURPOSE
As the Medical Office Assistant, you are responsible for the day-to-day administration and organization of Dr. Singh's office and patients to help ensure the office can provide the most efficient medical care possible.
RESPONSIBILITIES
The key responsibilities of this position include:
- Maintain patient scheduling;
- Maintain surgical bookings;
- Timely submission of patient requisitions for radiologic, diagnostic and laboratory testing;
- Office correspondence including timely replies to messages by phone, email, fax and mail;
- Manage Dr. Singh's work schedule;
- Order relevant administrative supplies;
- Order relevant medical supplies;
- Provide support with medical billing;
- Maintain adequate understanding of the electronic medical record system;
- Proof reading and editing correspondence with other physicians;
- Maintain all certifications needed in order to access hospitals, clinics and mail rooms;
- Clean medical equipment; and,
- Be flexible to assist periodically with other tasks as required.
WORKING CONDITIONS & PHYSICAL REQUIREMENTS
- The hours for this position are from 8:00 a.m. to 4:00 p.m. from Monday to Friday, however the working location will vary during the week in accordance with there the physician is working.
- Some overtime may be required. Similarly, some weeks may require fewer working hours.
- This position requires access to a personal cell phone and vehicle (not supplied by the employer)
CONFIDENTIALITY AND DISCRETION
In accordance with Horizon Health's policies, the incumbent must maintain the confidentiality of all company and patient information and must not discuss such matters outside of the clinical setting. Tact and discretion must be used in all dealings with all patients and potential patients to maintain a positive image of the physician.
QUALIFICATIONS
Qualified applicants must be an education in medical office assisting or equivalent experience. Strong organizational skills with the ability to multitask effective is a requirement. Strong writing and communication skills in English are also essential. Candidates must be trustworthy and cable to adhere to Horizon Health's policies for confidentiality and discretion. Ideal candidates will be detail-oriented, proactive, and committed to high standards. Patience is an asset. Experience with Intrahealth EMR software is an asset but not required.
COMPENSATION
Compensation will vary based on the candidate's experience, beginning at $50,000 annually. Vacation time will be (at least) three weeks each year, assuming flexibility with Dr. Singh's schedule. Other benefits can be negotiated.
