About the Role
This role is responsible for maintaining the smooth operation of our Toronto office and creating a welcoming environment where our employees thrive! You will work closely with our global team of Workplace Coordinators, cross-functional teams, and local employees to foster a productive and collaborative company culture.
What You’ll Do
- Oversee office activities and ensure that all tasks are completed efficiently and effectively
- Maintain office supplies and equipment, including ordering new supplies as needed
- Coordinate with the People Team, IT Support, and other departments to ensure that the office runs smoothly
- Ship, manage, and receive computers on an as-needed basis
- Perform general administrative tasks
- Work with the landlord to make and track facilities requests
- Plan and coordinate monthly social events for the office
- Maintain and execute the refreshment program including ordering and stocking snacks, coffee, and other items
- Greet visitors and new hires, making sure they have all the information needed to visit/enter the office
- Manage your locations office budget and ensure timely and accurate expense categorization
- Maintain a clean and safe office environment
- Support the Workplace Team’s goals by taking on ad hoc tasks/projects as needed
Who You Are
- Able to be onsite Monday through Friday in our Toronto office location and lives within a 30-minute drive to Toronto
- Relevant experience in office management or similar administrative role (or equivalent transferable skills)
- Strong organizational and time management skills
- Excellent communication and interpersonal skills
- Ability to prioritize tasks and manage multiple responsibilities at once
- Proficient in Google Suite, Notion, Asana, and Slack
- Strong attention to detail and accuracy
- Ability to maintain confidentiality
- Experience with social event planning and coordination
