Make an impact with our Regional Resource team as a Scheduling Assistant. Responsibilities

  • Assist in assignment of jobs, ensuring deadlines are set and achieved.
  • Assess priorities and coordinate workflow between teams.
  • Responsible for all data entry related to producing a schedule for the Core Services team.
  • Assist in long-term scheduling.
  • Review upcoming deadlines and work requirements with the team; coordinate the logistics and flow of work to specific team members (i.e. documents for review/signature)
  • Participate in scheduling meetings and follow-up on unresolved issues.
  • Resolve scheduling conflicts with the managers and partners.
  • Produce ad-hoc reports from our practice management software.
  • Communicate scheduling changes and updates to team members.
  • Motivate others to follow processes and escalate issues/challenges as necessary.
  • Ability to confidently connect at all levels in the organization using diplomatic communication, influence and negotiation skills.
  • Contribute to the development of new ideas and approaches to improve work processes.
  • Work collaboratively with Regional Scheduling Coordinator, other team members and leadership.
  • Actively listen to the concerns and needs of internal team members.
  • Maintain flexibility to work overtime as necessary.


Skills And Experience

  • Post Secondary education in business administration is considered an asset.
  • 1+ years of prior experience as a scheduler or related administrative experience.
  • Strong organizational and time management skills, with the ability to manage multiple tasks simultaneously.
  • Outstanding problem-solving and communication skills.
  • Experience in a professional services firm is considered an asset.
  • Proficient in various computer programs including Microsoft Office (Excel, Outlook, Word, PowerPoint).
  • Strong Client service focus
