Job Opportunity: Executive Assistant/Corporate Secretary at Decisive Dividend Corporation

Are you an organized, detail-oriented professional with a passion for corporate governance and executive support? Decisive Dividend Corporation is seeking an experienced Executive Assistant/Corporate Secretary to join our team and play a key role in supporting our corporate governance, executive operations, and communications functions.


Location: Kelowna, BC


Key Responsibilities:

Corporate Secretary Responsibilities:

  • Coordinate and manage all aspects of Board and Committee meetings.
  • Prepare and distribute board meeting agendas, minutes, and documents.
  • Take minutes at all Board and Committee meetings.
  • Maintain corporate records, including minutes, bylaws, and resolutions.
  • Ensure compliance with legal and regulatory corporate governance requirements.
  • Facilitate communication between the board of directors and executive management.
  • Assist in preparing and filing corporate documents with regulatory bodies.
  • Support the Board of Directors in fulfilling their fiduciary responsibilities.
  • Coordinate the Annual General Meeting.
  • Maintain a high level of confidentiality.

Office Manager & Executive Administrative Support:

  • Oversee the daily operations of the office, ensuring efficient workflows and office maintenance.
  • Provide administrative support to executives, including calendar management, meeting coordination, and travel arrangements.
  • Ensure the office environment is well-maintained, including managing supplies and coordinating with service providers.

Communications:

  • Manage internal and external communications to ensure consistent messaging.
  • Oversee the creation of marketing materials, such as brochures, press releases, and social media content.
  • Assist in planning and executing promotional events and campaigns.
  • Build relationships with media contacts and manage public relations efforts.
  • Oversee the design, layout, and usability of the corporate website.


Qualifications:

  • Proven experience supporting senior executives in a professional setting.
  • Experience in legal, paralegal, or corporate secretarial roles is a strong asset.
  • Excellent organizational, time management, and communication skills.
  • Ability to handle confidential information with discretion.
  • Proficient in MS Office Suite and other office software.
  • Strong interpersonal skills and the ability to interact with high-ranking individuals.
  • Knowledge of corporate governance and regulatory compliance.
  • Experience in marketing and communications is an asset.
  • Ability to manage multiple projects and deadlines in a fast-paced environment.
