As a Director of Fund Services at Hiive, you will play a critical leadership role in the asset management team, reporting to the VP of Operations. You will oversee the management of Hiive’s single-asset funds from establishment to wind-down, taking responsibility for the fund administration function and ensuring operational efficiency and excellence across all phases of the fund lifecycle. You will work closely with internal teams, investors, regulators, legal counsel, and third-party vendors to execute complex fund structures in a fast-paced, dynamic environment.

In This Role, Your Responsibilities Will Include

  • Lead the creation and evolution of the fund administration function at Hiive, including establishing policies, procedures, processes, vendor relationships, and templates that support scalable, efficient operations across multiple fund structures.
  • Spearhead the establishment and ongoing management of Hiive Funds, including ensuring all necessary regulatory filings (e.g., Blue Sky fees, franchise taxes) and compliance requirements are met throughout the lifecycle of the fund.
  • Manage banking relationships on behalf of the funds, including establishing, maintaining, and overseeing fund bank accounts, and working closely with the finance and product teams to ensure effective fund flows and capital management.
  • Track and monitor key fund compliance metrics, such as seat counts, retirement assets, and investor status, ensuring all requirements are met for ongoing fund operations.
  • Oversee the maintenance of the fund's books and records, including capital accounts, redemptions, and distributions, ensuring accuracy and adherence to industry standards and best practices.
  • Draft and implement a comprehensive KYC and AML policy for Hiive Funds and ensure full implementation and compliance for each investor admitted into the fund.
  • Lead the investor onboarding process, ensuring all necessary steps are taken to admit investors, including KYC, accreditation status verification, suitability assessments, and special situation approvals.
  • Manage capital calls and distributions for the funds, ensuring smooth execution and compliance with fund agreements and investor commitments.
  • Oversee asset acquisition for each fund, reviewing and managing Share Transfer Notices, Share Purchase Agreements, and all other related legal documentation to ensure proper execution and documentation of fund transactions.
  • Manage investor transfers, redemptions, and sales, ensuring accurate processing and clear communication with investors.
  • Liaise with external vendors, including registered agents, outside counsel, auditors, and banking partners, ensuring high-quality service and effective management of fund-related functions.
  • Lead the fund accounting teams to monitor cash flows, and ensure fund activities are in line with investor and regulatory expectations, review investor statements and K–1s.
  • Partner with the product and engineering teams to drive automation and productization of fund administration functions, improving efficiency and scalability over time.

Required Experience

  • 8+ years of direct operating experience in fund services and operations, with a strong background in managing private equity, venture capital, or other private fund structures.
  • Prior experience working at private equity firms, fund administrators, or public accounting firms with significant exposure to private funds and investments.
  • Deep knowledge of onshore and offshore fund administration and compliance standards, including experience in investor reporting, capital calls, distributions, and regulatory reporting.
  • Proven leadership experience in managing fund administration operations, with a focus on optimizing processes and driving efficiency.
  • Excellent attention to detail, organizational skills, and the ability to execute tasks swiftly and accurately under pressure.
  • Strong ability to manage multiple priorities, communicate effectively with internal and external stakeholders, and build high-trust relationships.
  • Experience with single-asset funds or similar fund structures.
