What we are looking for:
As a member of our team, you will be responsible for ensuring the systems supporting the coordination and facilitation of flow within the Facilities & Corporate Services Department are maintained. You will assist in day-to-day operations including monitoring, evaluation, and assigning resources within the portfolio.
- Respond to customer service requests and direct them as required; monitor, track, and dispatch support services calls as necessary.
- Initiate service recovery after a customer complaint.
- Prepare and maintain departmental schedules for all support services areas; troubleshoot scheduling concerns according to CUPE collective agreement.
- Maintain, upgrade, analyze, and roll out scheduling software.
- Coordinate department workflow processes using systems like Connexall, Meditech, and Intelliguard.
- Identify automated system trends and highlight when service levels are not met.
- Organize and distribute meeting room setups and cleaning schedules.
- Support payroll functions.
- Manage equipment issues or needs.
- Perform data entry and maintain data integrity in tracking systems.
- Monitor and analyze the performance of assigned support services systems and provide reports.
- Identify trends and recommend continuous improvement activities.
- Update and maintain confidential records and files.
What you bring to the role:
- Secondary School diploma and completion of Community College Administrative Assistant Diploma or equivalent.
- Experience in leadership or supervisory capacity is preferred.
- Completion of the OHHA Environmental Services Leadership Certificate is an asset.
- Support services administrative experience.
- Minimum 1 year relevant administrative hospital experience.
- Experience with computerized scheduling and payroll timecards, preferably Meditech 6.0.
- Proven MS Office proficiency (Word, Excel, PowerPoint).
- Experience coordinating a complex scheduling system.
- Agility in facilitating and coordinating a busy work environment.
- Excellent organizational skills with the ability to prioritize tasks and meet deadlines.
- Strong customer service and interpersonal skills.
- Excellent written and verbal communication skills.
- Critical thinking skills with the ability to anticipate program needs.
- High initiative and efficiency.
- Commitment to a healthy and safe workplace.
Work Schedule: Part-Time - Days, Evenings, and Weekends as needed.
Compensation:
BAND R
Range: $30.84 - $36.83
