This is a Full-Time Permanent position, 35 hours/week. Location- Waterloo District Office - May require travel within the District (Halton, Peel, Wellington, Hamilton, Niagara, Waterloo). The Wage rate is $24.20 to $26.82. Opportunity closing date: January 12, 2025.
The District Recruitment Assistant provides administrative support to the Recruitment team and the District Office team in the recruitment process including Unionized districts, where applicable. The District Recruitment Assistant provides support to Program locations and works from the District Office. They communicate with people within and outside of Karis Disability Services to provide information about the organization.
The District Recruitment Assistant may not complete all the duties outlined below, as volume of work may vary in each District or specific regions. The District Recruitment Assistant will respect and uphold the Values, Vision and Mission of Karis Disability Services, demonstrating the highest standards of courtesy and respect in their dealing.
Job Duties include the following:
- Assist the District Leadership team with administrative duties, mailings, and other recruitment related duties.
- Research colleges, community centers, online platforms, and other advertising venues for ongoing recruitment to promote employment opportunities.
- Prepare for and participate in job fairs for employment opportunities within the district.
- Respond to telephone calls; provide relevant information and/or direct calls as appropriate; provide general information about employment opportunities.
- Maintain ongoing district recruitment files as well as archiving of recruitment documents to meet organizational and collective bargaining filing requirements.
- Schedule meetings and take minutes as required for district Staff Relations Representative meetings and District Networking Safety Counsel.
- Assist with planning and implementation of district events and meetings as requested.
- Review resumes/applications and shortlist candidates.
- Coordinate and schedule initial interviews ensuring candidates have necessary information.
- Provide updates to candidates regarding application status as needed.
- Monitor and follow up on all incoming emails regarding job fair inquiries on designated email inbox.
- Complete reference verification for external candidates and follow-up with references.
- Schedule On-Site Assessment appointments with the candidate and the Program/Hiring Manager as applicable.
- Prepare statistical reports as requested.
- Upload applicable hire documents to HRIS.
Requirements/Qualifications:
- One (1) year on-the-job experience (HR-related preferred)
- Human Resources related Community College (2 years) preferred
- Computer skills - Knowledge of Microsoft Office 365 and Adobe software
- Excellent written and verbal communication skills
- Knowledge of office procedures and equipment
- Knowledge of hiring in a unionized environment
- Excellent time management and collaboration skills
- Flexibility
- Detail-oriented
- Ability to manage competing priorities in a fast-paced environment
- Full G-level Driver's Licence would be an asset
