Committee Assistant
City of Mississauga
This position provides administrative support to Committee of Adjustment staff by utilizing advanced computer skills and strong organizational abilities to aid in the efficient day-to-day operation of the team.
Duties and Responsibilities
- Preparation, assembly, and distribution of meeting agendas, public notices, decisions, and final notices
- Processing of files by creating maps and mailing lists, searching previous decisions, etc.
- Electronically post notices, meeting agendas, staff comments and Committee decisions
- Order and prepare notice sign boards and inserts, and send inserts to applicants
- Receive fee payments and maintain accurate monthly spreadsheets of all payments by file type and status
- Maintain accurate records across multiple databases/programs
- Assist at Committee of Adjustment hearings by time stamping and posting videos and providing assistance to virtual attendees
- Compile and submit appeal documentation to the Ontario Land Tribunal for appeals submitted to the municipality
- Perform other duties as assigned
Skills and Qualifications
- Post-secondary education in Administration, Political Science, Planning, or a related field with a minimum of two to three years related experience in a municipal government environment, or equivalent combination of education and experience
- Demonstrated proficiency with Microsoft Office (Word, Excel and PowerPoint), eScribe, Sharepoint, Adobe Pro, Outlook, and virtual meeting technology (such as WebEx or Zoom)
- Strong organizational and interpersonal skills are required, including an ability to deal with staff and members of the public
- Candidates must possess the ability to work on own initiative to meet deadlines and respond to multiple priorities
- Aptitude for details and processes, high level of accuracy and attention to detail
- Ability to maintain a high standard of confidentiality
- Able to interpret and follow City policies, procedures and administrative practices
