This role will provide support during the implementation of information/records management processes for physical/electronic records associated with any project executed within the Projects group.

Specific Accountabilities
This role will ensure that project records/drawings are received, reviewed, assessed, processed and turned over to Business units in accordance with Corporate Procedures and Policies.
- Engage Project teams and internal/external stakeholders at early stages and provide any training related to the Project Information Management tools and processes.
- Perform quality checks to the Project sites to ensure they are utilized for controlling, storing and classifying project records accordingly.
- Provide Information Management support to internal/external stakeholders including Project teams, contractors, consultants and inspectors, Field document personnel, etc.
- Maintain logs and trackers to provide accurate project records status reports; and to ensure that project records are turned over and complete in accordance to the turnover requirements to the different Business authorities.
- Coordinate with Project teams and Engineering Consultants to ensure that vendor records are turned over according to the Final Vendor Data Procedure.
- Perform vendor completeness check between vendor and commissioning records if required.
- Collect and ensure red line markups are completed as per internal procedure and As Builts meet Engineering Drawing Standards and Redline Markup Procedure.
- Communicate any inconsistency and/or deficiency related to project records/drawings to internal/external stakeholders.
- Scan completed and assessed hard copy records, and supply metadata according to RIM requirements and Technical Records turnover procedures.
- Process (combine, metadata, rename, OCR’d, etc) electronic files, complete final verifications and turn them over to the business authorities for retention.
- Perform reviews on peer records processing (scanning and metadata) in order to make sure that they are deficiency free before turning over to the Business authority for final review and archive.
- Assisting with the flow of project information to internal stakeholders.
- Assisting with the continuous improvement and development of records management standards, practices and protocols.
- Liaise with Business authorities regarding the Turnover process for Project Records and Drawings.
- Liaise with stakeholders to determine requirements, working with the approved procedures and assisting Project Teams in completions of Project Records Turnover.
This role will provide support during the implementation of information/records management processes for physical/electronic records associated with any project executed within the Projects group.
Knowledge, Skills, And Abilities
- 4-7 years' experience in a similar role
- Excellent knowledge on Microsoft products including SharePoint, excel, word, Visio, InfoPath, Power BI, etc.
- Possesses keen attention for details.
- Degree or diploma from a recognized post- secondary institution in Records or Information management preferable
- Working experience in construction turnover documentation will be an asset.
- Must have excellent written and oral communication skills with the ability to effectively and diplomatically/assertively interact with personal at all levels of the organization.
- The position requires an individual who is able to apply analytical and problem solving skills in a high workload, short timelines and high impact activities.
- Technology diploma or Engineering degree will be an asset.
- Working experience in oil and gas exploration, production activities and/or pipeline design, construction or operations will be an asset.
