Executive Assistant to the CEO

Please note: This is a 6-month contract position that includes both virtual and in-person assistant duties. A valid driver’s license and access to a vehicle is required. Residency in Toronto is preferred. The hourly rate for this role will range from $36.00 to $40.00 CAD.
Key Responsibilities:
- Manage the CEO’s daily schedule with precision, including email and calendar coordination and handling meeting logistics.
- Prepare detailed documents, reports, and applications, ensuring accuracy and professionalism.
- Represent the CEO in communications and meetings when necessary.
- Arrange travel plans, including flight bookings, hotel accommodations, and car rentals.
- Anticipate travel needs and resolve logistical challenges efficiently.
- Assist with day-to-day errands and outgoing calls.
- Oversee small projects to ensure deadlines and objectives are met.
- Use tools, such as ChatGPT, to optimize communication and streamline administrative tasks.
- Liaise with team members and external partners to ensure smooth communication and coordination.
- Handle sensitive information with the utmost professionalism and confidentiality.
- Plan and coordinate company social events throughout the year.
What You’ll Bring:
- Previous experience as an Executive or Personal Assistant to a C-Level Executive, or in a similar role requiring comparable responsibilities.
- Proven ability to manage multiple tasks and priorities.
- A flexible attitude toward changing priorities, empathetic, and easy to work with.
- Meticulous attention to detail and a results-driven approach.
- Outstanding communication and relationship-building skills.
- A thoughtful, deliberate approach to handling tasks and interactions.
- Enthusiasm for leveraging technology to improve workflows and productivity.
- Being happy to use tools like ChatGPT and other administrative technologies is a plus.
- Willingness to attend in-person meetings and manage tasks across Toronto if needed.
