Job Summary: Behind every great Engineering company, there is a team of exceptional Administrative professionals who create and maintain effective admin systems to support the business! Introba’s Vancouver office is looking to hire an Office Administrator. The Office Administrator is responsible for the efficient day-to-day operations of our consulting office while creating an engaging and welcoming atmosphere for employees and visitors. The Office Administrator supports managers and employees through a variety of tasks related to organization, communication, events, equipment, and processes. Another major component of the role is the ability to be proactive and responsive. This role is a vital component in connecting multiple offices, departments, and teams to create a collaborative and cohesive environment.

Responsibilities

  • Creates a welcoming environment by greeting guests, answering phone calls, directing visitors, and taking messages for employees.
  • Provides general administrative support such as expenses, access, printing, couriers, and calendars.
  • Builds an engaging office environment through planning and coordinating communications, internal social events, gatherings, and activities.
  • Controls internal and external supplies and resources such as supplies, furniture, food.
  • Maintaining a safe environment and high hygiene standards in common work areas such as the reception, kitchen, storage and meeting areas.
  • Coordinates with other administrative staff and service teams to support overflow work.
  • Participates and is an engaged member of the local and regional administrative teams.

Knowledge

  • Some knowledge of the Architecture, Engineering, and Construction (AEC) services sector.
  • Some administrative experience in a professional services environment.
  • Organizational and Project management tools and best practices.
  • Technical Proficiency of Microsoft Office Suite and Bluebeam Revu.

Qualifications and Experience

  • 2-4 years of experience in an administrative role
  • University degree, college diploma in Administration/Business, Communications or related field preferred
  • Excellent verbal and written communication skills
  • Working knowledge of Deltek Vision and Newforma would be an asset

Introba is committed to pay equity. As part of that commitment, we have provided the base compensation range of $50,000 - $70,000 annually for this position and local market. We recognize that each candidate brings a unique set of skills, experience, education and competencies to the table that will be reflected in our offer.
