Job Duties

The Student Recruitment Advisor at Saskatchewan Polytechnic plays a vital and foundational role in the institution’s strategic enrolment efforts to attract and engage a diverse set of prospective students in an increasingly competitive educational landscape. The position requires a diverse skill set to effectively leverage advances in communication technology and adapt to changing student demographics. The Student Recruitment Advisor is also responsible for planning and executing a wide range of recruitment events with increased community, student, and volunteer involvement, as well as participating in strategic planning and retention practices to remain competitive on regional, national, and international levels. This role sustains a large portion of the enrolment funnel, from awareness, interest and inquiries to applications and pre-assessment support, admission (application submission, deposit payment and supporting documentation), and pre-arrival support. The position works collaboratively with other departments and the use of our Customer Relationship Management system to build and manage student journeys, communications, and workflows, significantly impacting domestic student enrolment.

Qualifications, Skills, Abilities and Experience

Specific Accountabilities

Prospective Student Advising and Conversion
  • Serve as the initial contact point for prospective students, parents, educators, organizations, and associations guiding them through educational decisions.
  • Provide personalized support via diverse mediums (online, in person, phone, email, Zoom), demonstrating patience, understanding, and active listening.
  • Provide information on transfer credits, foreign credential checklists, enrolment verifications, Saskatchewan Graduate Retention program, transcript requests, student loans, and sponsorship.
  • Facilitate connections to campus resources such as Career Counsellors, Health and Accessibility, International Education, Enrolment Services, Student Experience, Continuing Education, Literacy and Adult Education, Counselling, Learning Services, Saskatchewan Polytechnic Students’ Association, Student Awards, and Indigenous Strategy.
  • Coordinate and facilitate campus or program tours and provide script and training for tour facilitators across departments.
  • Facilitate cross-cultural understanding and effective communication in various contexts involved in implementing strategies that promote inclusivity and awareness.
  • Lead enrolment initiatives, such as waived application fees, calling campaigns, and Return to Learn programs, aimed at increasing access and engagement.
Event and Presentation Planning, Coordination, and Implementation
  • Coordinate provincial recruitment events, including but not limited to: Open House, Guidance Counsellor Updates, Returning to Learning, Careers in Welding, Saskatchewan Teachers of Applied Technologies Conference, Robot Rumble, Machining Madness, Colleges and Institutions Canada/Junior Achievement, Skills Canada, career fairs and presentations.
  • Manage respective event budgets.
  • Work with Facilities to design layouts for events, oversee and participate in the setup and takedown of event displays to optimize presentation impact and flow of foot traffic.
  • Oversee internal event logistics, including equipment rental, layout and design, and moving of event materials or equipment.
  • Supervise recruitment event volunteers and strategize evening and weekend availability for diverse scheduling needs of our clients and students.
Operational Planning
  • Facilitate inter-departmental communication to ensure consistency of support and accurate information dissemination.
  • Support departments with events such as Welcome Week, convocation, KNOW conference, and Indigenous student information sessions.
  • Help to manage the Welcome Centre by displaying publications, sharing information with internal departments, communication of schedules, and opening hours.
CRM Administration, Data Tracking, and Analysis
  • Manage and maintain prospective student information using Banner and Customer Relationship Management platform.
  • Track recruitment metrics and use data to inform, monitor program availability, and advise prospective students on capacity and waitlists.
  • Create reports using data from Tableau and other sources to support recruitment initiatives and measure effectiveness.
Communications and Marketing Planning in Development and Implementation
  • Collaborate with marketing and communications teams to design targeted media campaigns and distribute recruitment materials.
  • Manage digital and print media for events, ensuring accurate, up-to-date information is available to prospective students and the public.
  • Establish and uphold communication processes using Customer Relationship Management, Banner, and EZRecruit platforms.
  • Build and maintain a network of internal and external contacts including Guidance Counselors, community organizations, Program and Department leaders, and Student Service representatives.
Domestic Recruitment Strategy
  • Support the development and execution of a data-driven recruitment strategy aligned with institutional goals, including the Strategic Enrolment Management plan.
  • Develop and implement comprehensive methods for assessing programs and services with evaluation tools, conducting surveys, analyzing feedback, and using data-driven approaches to measure effectiveness.

Must have the ability to travel and possess a valid Class 5 driver’s license which is required for traveling between campuses, external stakeholder visits, and supporting recruitment events off campus.
This job is frequently expected to lift, carry, push, or pull objects weighing more than 20 lbs. (without the assistance of mobile, powered equipment).

Duties

Required Qualifications, Skills and Abilities (QSA)

  1. Saskatchewan Polytechnic graduate of a diploma program or an equivalent combination of recent and relevant education, training, and experience.
  2. Three (3) years of experience working in an office environment. Previous experience with Event Planning and/or coordination would be considered an asset.
  3. Excellent interpersonal, communication, and customer service skills and presentation skills.
  4. Familiarity with the agencies and organizations in Saskatchewan Polytechnic’s education/training community.
  5. Intermediate level knowledge and experience with MS Office, databases, and presentation packages.
  6. Ability to problem-solve and make fair, practical, and objective decisions in various situations.
  7. General knowledge of Saskatchewan Polytechnic programs and admission processes along with an awareness of adult education systems.
  8. Ability to manage multiple projects, activities, and events.
  9. Ability to work effectively as part of a team and with others to share expertise and achieve outcomes that will benefit the organization.
  10. Demonstrates valuing diversity.
