The opportunity:
The University of Manitoba is looking for an Executive Assistant to the Dean. This position will be responsible for providing confidential executive assistance to the Dean of the Price Faculty of Engineering and Associate Deans and providing overall administration of matters related to academic staff in the Faculty, advisory service and administrative expertise to departments within the Faculty.
The incumbent interprets and provides advice and guidance to the Dean and office staff and responds to enquiries from other University departments with respect to Price Faculty of Engineering policies, procedures and by-laws.
The position also provides administrative, organizational, and secretarial support to Standing Committees of Faculty Council for which responsibility has been assigned and to various committees chaired by the Dean and Associate Deans, and is expected to interpret and provide advice and guidance to the Dean and Associate Deans in the management of those committees.
The qualifications and experience we’re looking for:
- Undergraduate degree in a relevant discipline and/or completion of an administrative program of studies required.
- A minimum of 5 years progressively responsible administrative experience required, with a preference for high-level administrative or executive support in a post-secondary environment.
- Knowledge of university policies, procedures and collective agreements in force at the University required.
- Supervisory experience is an asset.
- An acceptable equivalent combination of education and experience may be considered.
- Sound decision-making and problem-resolution skills required.
- Proven administrative and organizational skills, and be an analytical thinker, provide attention to detail, and produce work with high accuracy required.
- Exceptional written and oral communication skills required.
- Must have excellent spelling and grammar skills, as well as experience with writing correspondence and reports.
- Proficiency in office software and ability to learn new systems quickly required.
- Ability to use judgement, tact, and discretion, maintain confidentiality, and act independently with minimal supervision required.
- Ability to deal effectively and diplomatically with senior members of the University and the public required.
- Ability to initiate, plan, organize and prioritize diverse tasks, and ability to multi-task.
- Possess positive attitude and the ability to establish and maintain a good working relationship with faculty, support staff, students and also within the corporate and education environments required.
- Ability to work cooperatively as a member of a team to meet unit goals and objectives required.
- Conflict management skills an asset.
- Satisfactory work record, including satisfactory attendance and punctuality, is required.
