STEM Innovation Academy is seeking an enthusiastic, friendly, and passionate school secretary to join our front office team, dedicated to supporting students, staff, and the overall success of our school community.

About Us

STEM Innovation Academy is a public charter school in Calgary that opened in September 2021. Our junior high school currently serves over 470 students in grades 7-9. In September 2022, our high school campus opened a NW location located in the University Innovation Quarter with 115 Grade 10’s; we have since grown to 710 high school students with a full-grown capacity of 1000 students. With a mission to inspire the next generation to be knowledgeable creators, innovators, and responsible leaders, we believe every student can be successful in STEM and should have the opportunity to learn about cutting-edge science, math, and technology topics. Position Information

High School Secretary/Assistant

The purpose of this position is to perform clerical duties in support of, and to assist, in the day-to-day operation of the high school campus. This position reports to the administrative assistant and administration.

Hours of work: Negotiable; 28-35 hours/week, 10-month employee

Anticipated Start Date: February 3, 2024

Responsibilities

  • Create a welcoming environment for all students, staff, and visitors to the main office.
  • Positively interact with and assist students, staff, and parents.
  • Answer telephones and supply information to callers.
  • Communicate with parents concerning student absenteeism, check-outs, or early dismissals.
  • Understanding of PowerSchool operations; using PowerSchool to enter attendance, run reports.
  • Maintain office supplies; place orders, receive deliveries.
  • Work with vendors to maintain photocopiers and other equipment.
  • Assisting with organizing Guest Teachers.
  • Organization and distribution of locks/lockers/locker contracts.
  • Perform other related duties as assigned by administration (overseeing communal areas within the school, support in staff functions, maintaining inventory, laptop sign out, lamination, appointment bookings for counsellors and administrators, etc).

Education and Experience

  • High school completion.
  • Experience in a school office environment is an asset.
  • Minimum one-year related experience in an office environment or completion of a recognized post-secondary certificate or diploma in office administration or its equivalent with successful practicum experience.

  • Knowledge of office / records management.
  • Ability to use computer applications such as MS Office, Teams, PowerSchool.
  • Strong verbal and listening communication skills, combined with good written communication skills and very good interpersonal skills.
