Agilus is recruiting for a Office Administrative Assistant in the Nuclear Industry in Pickering, Ontario.
As the Office Administrative Assistant, you will be essential in supporting the President and CEO, the Senior Manager of Partners and Events, and the team. Your role will help ensure the smooth operation of the office and contribute to the success of various programs and events.

As the Office Administrative Assistant, you will be essential in supporting the President and CEO, the Senior Manager of Partners and Events, and the team. Your role will help ensure the smooth operation of the office and contribute to the success of various programs and events.
A Typical Day
- Manage the scheduling and calendar for the President and CEO, providing administrative support to the team.
- Handle incoming and outgoing correspondence, ensuring timely, professional responses, and maintain office records
- Prepare reports, presentations, and meeting materials as needed
- Answer and manage the main corporate phone line, routing calls appropriately and maintaining a log of inquiries
- Assist with event and trade mission planning, coordinating logistics, attendee registrations, and travel accommodations
- Prepare and distribute event materials, support onsite or virtual execution, and maintain event financial records.
- Monitor and order office supplies, ensuring equipment is maintained and the office is organized and welcoming
- Provide general team support, stepping in for special projects or priorities as directed by leadership
- Valid driver’s license and access to own vehicle - role requires occasional travel within Ontario for events
- High School or College Diploma
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience managing phone lines and providing customer service
- Event coordination experience, including logistics, registrations, and materials, is a plus
- Knowledge of CRM systems and maintaining accurate records is an asset.
- Experience coordinating with vendors and managing office supplies is a plus
- Excellent organizational, time management, and multitasking abilities. Self-starter, team player, and thrives in a fast-paced environment. Detail-oriented with a proactive problem-solving mindset.
- $45000.00 - $55000.00 annually
- Hybrid work model: work in office 3 days per week
