Secretary- Receptionist

Groupe Marcelle is currently looking for a secretary-receptionist for a temporary full time position for a maternity leave replacement (7 months contract).
The secretary-receptionist will support the president and members of the executive team by performing a variety of administrative tasks such as: greeting visitors, coordinating the reception of calls and emails, processing and filing them, as well as organizing documents and appointments, among other duties. The secretary-receptionist will also provide administrative support for various corporate events within the company.

- Workplace: 9200, Côte-de-Liesse Road, Montreal, Quebec in hybrid mode (minimum three (3) days a week in the office) with possibilities of four (4) days a week when needed.

YOUR RESPONSIBILITIES WILL BE
- Greet visitors, clients, and colleagues all by ensuring a positive experience.
- Filter incoming calls and direct requests, manage emails, phone calls, and mail.
- Organize meeting rooms, equipment, and reservations, and prepare necessary documents.
- Manage packages, access control, and visitor badges.
- Handle correspondence (emails, phone calls, mail) and address internal requests.
- Organize the president's and executive team's agendas, schedule meetings and travel.
- Prepare and organize documents for meetings and presentations.
- Provide daily administrative support (filing, ordering supplies) and assist the executive team.
- Provide personal support to the president, including scheduling appointments and managing travel (ticket bookings, hotels, transportation).
WE WOULD LIKE TO MEET YOU IF YOU HAVE
- A diploma in Professional Studies (DEP) or a College Studies Diploma (DEC) in Secretarial Studies or Office Administration.
- A minimum of five (5) years of relevant experience.
- Strong organizational skills.
- Exceptional customer service.
- Excellent professional ethics.
- Skills in event management or organization (an asset).
- Experience working with senior management (an asset).
- Proficiency in Microsoft Office tools (Word, Excel, PowerPoint), Teams, and Outlook, with strong technological aptitude.
- Ability to write in both French and English.
