Position Overview
The Associate, Team Coordinator will organize and manage operational tasks for a large HNW Investment Advisory team.
You will oversee the day-to-day activities and operations of the IA practice through effective processes, multiple calendar management, team events and other projects as required.

You will oversee the day-to-day activities and operations of the IA practice through effective processes, multiple calendar management, team events and other projects as required.
Duties And Responsibilities
Team Operations and Assistance:
- Manage the execution of transactions on behalf of the Advisor
- Analyze all existing team processes and practices, identify efficiencies and implement recommended improvements
- Manage the business model for the team to utilize for the client onboarding process, ongoing communications and client service for operational excellence
- Ensure team compliance to both industry and corporate rules and guidelines
- Coordinate the operations of the team by filtering tasks and assigning to appropriate team member for completion
- Seek professional development opportunities, for self and team members
- Manage workflow to ensure file preparation is timely and efficient for the team
- Delegate tasks to the team with assigned priorities and deadlines
- Maintain and supervise team diary system
- Manage projects and track progress and results
- Download information to shared site and client files
- Address software and IT issues and ensure team is operating at an optimal level
- Answer phones and greet people in the lobby. Be the ‘manager of first impressions’
- Direct client calls to proper team members
- Manage advisor schedule for clients, prospects, personal appointments and confirm appointments to ensure that there aren’t any missed meetings
- Book boardrooms for meetings and ensure that boardrooms are used efficiently
- Schedule and facilitate Microsoft Teams meetings
- Ensure relevant materials are prepared for client meetings
- Ensure team is leveraging CRM system to its fullest
- Autonomy, initiative and attention to detail
- Ability to analyze and identify process improvements and implement them
- Capability to strategize and manage competing tasks and entire team workflow
- Outstanding communication skills and ability to work within a team
- Ability to operate in a demanding environment and adhere to timelines
- Demonstrates and supports open, honest, and direct communication
- Experience in the financial sector working within an Investment Advisor team would be an asset
- Previous experience as an administrative/executive assistant would be an asset
- College diploma or University degree in business, commerce or related field(s)
- Registered as an Investment Representative (IR) with CIRO is required
