About The Role

The primary focus of the Executive Assistant -- what we call a Business Coordinator within ATB -- is to provide administrative support to the Chief Legal and Sustainability Officer & Corporate Secretary, as well as the broader Executive team within the Sustainability, Relationships, Impact team (SRI), including VP ESG Strategy, VP Third Party Relationships, VP Legal Services, and MD Strategy. This includes coordinating and supporting a wide range of executive activities with limited direction, and ensuring operation in an effective and well organized manner. The successful candidate must have experience in a fast paced, dynamic environment where a high degree of professionalism, confidentiality, attention to detail and flexibility are required.

The level of support requires a strong understanding of ATB, along with the business knowledge to communicate and work effectively within the organization and with external stakeholders. Positive interactions and the ability to build relationships is a critical requirement of this role. This role will interact with key stakeholders such as ATB’s executive leadership team, Board of Directors, and ATB team members.

Accountabilities

You Will Find Success Based On Your Ability To

  • Be the “glue” that holds the team together. You anticipate needs, orchestrate multiple demands and opportunities, and fulfill a variety of requests from the senior leadership team as well as SRI team members.
  • Assist in the execution of executive responsibilities through assessment of information, and escalation of urgent matters requiring immediate responses.
  • Act as a liaison on behalf of the executive team with various levels of staff, business unit heads, and members of the Board of Directors on a variety of subject matters, often sensitive and highly confidential in nature.
  • Support effective time management; manage calendars; schedule/accommodate external and internal meetings, making travel arrangements as needed.
  • Lead planning for off-site meetings and other events (SRI Days, Townhalls, leadership meetings, business planning sessions, etc.)
  • Lead recognition programs coordination for Everyday Heroes (Quarterly awards) and President’s league selection, including creating a “wow” experience for winners.
  • Prepare invoices for payment.
  • Complete expense account transactions in the Concur system to ensure appropriate documentation and coding are attached and expenses incurred are within ATB’s Travel and Expense Card Policies.
  • Support SRI specific onboarding activities and overall experience.
  • Maximize efficiency by researching and routing correspondence, drafting responses, collecting and analyzing information, and preparing reports to address requests and queries.
  • Use an understanding of the Executives’ and SRI’s goals and priorities to move initiatives forward and make sound decisions about priorities of requests.
  • Maintain a system to ensure all operational and project activities are completed successfully.
  • Contribute to productivity by reducing or eliminating non-essential work and distractions by taking action where appropriate.
  • Various sundry duties.

Skills, Experience & Requirements

  • At least 5 years of experience in an executive administration role.
  • A post-secondary education in administration, accounting or other related administrative courses would be beneficial.
  • Extensive experience managing senior executive calendars, using knowledge of organizational and departmental timelines and priorities to effectively manage demand for time in a fast paced, interruption-driven environment.
  • Excellent interpersonal skills: ability to work collaboratively with other stakeholders, including all levels of management, internal and external contacts; and ability to develop and maintain effective relationships.
  • Proven ability in assembling, compiling, analyzing and summarizing data and preparing reports.
  • Expert knowledge of Google Suite to produce high quality reports, presentations or other documents. Exposure to data visualization tools is an asset. Demonstrated ability to learn and effectively use new software, like Generative AI.
  • Mature, self starter with demonstrated independent thinking, ability to be innovative, and decision-making skills.
  • Must be able to work independently to anticipate and address issues in the executive's absence.
  • Excellent written, verbal and interpersonal communication skills and the ability to work under pressure and meet critical deadlines.
  • Easily engages with others at all levels.
  • Exceptional organizational skills, attention-to-detail, and ability to multitask.
  • Maintain strict confidentiality at all times.
  • Ability to identify and prioritize items requiring immediate action, along with any pertinent information to facilitate decision making.
  • Strong customer-service orientation; a flexible and willing 'can do' attitude.
  • Ability to be diplomatic, tactful and use discretion in all situations with both internal and external parties, with a high degree of professionalism.
  • Understanding of ATB practices, processes and people is considered an asset.
