The Records & Information Management Coordinator oversees the City's records lifecycle, leading a comprehensive RIM program for electronic and physical records. Responsibilities include developing, implementing, and maintaining policies and procedures for access, classification, retention, and disposal of information resources. The role ensures legislative compliance, aligns with organizational objectives, and upholds industry standards and best practices while providing expert advice on the RIM program.

Your Key Responsibilities

  • Analyze and update the Records and Information Management (RIM) Program to meet business needs.
  • Coordinate testing, upgrades, and integration of Electronic Document and Records Management (EDRM) software.
  • Ensure compliance with RIM policies, legislation, and best practices, including audits and legal holds.
  • Manage physical and electronic records.
  • Chair RIM Committee meetings and coordinate training plans to address program gaps.
  • Monitor program success through reporting, statistics, and continuous improvement efforts.
  • Prepare purchase orders for records supplies and services.
  • Manage user access to records management software, ensuring security of sensitive information.
  • Provide service desk support, troubleshoot software issues, and liaise with the vendor.
  • Conduct FOIP orientation, advise on privacy policies, and support departments with information requests.
  • Manage FOIP requests within legislative guidelines, including information dissemination and legal consultations as needed.

What You Bring

  • Advanced Microsoft Office and database management skills.
  • Strong organizational, analytical, research, and problem-solving abilities.
  • Excellent verbal and written communication, presentation, and customer service skills.
  • Skilled in drafting complex documentation, including policies and business plans.
  • Ability to prioritize, work independently, and meet deadlines under pressure.
  • Strong project and change management capabilities.
  • High level of accuracy, discretion, and professionalism.

Qualifications

  • Diploma in Records and Information Management or related field, or equivalent education and experience; enrollment in a recognized records management program is an asset.
  • Minimum 3 years of intermediate-to-advanced RIM experience; municipal government experience is an asset.
  • Master's degree in Library and Information Science (MLIS) is an asset.
  • Ongoing training in RIM certifications (e.g., AIIM ERMS Specialist, ECM Master Certification, ARMA-recognized certifications).
  • Accreditation such as CRM, IGP, or CIP is an asset.
  • FOIP training, including Managing a FOIP Program or CIAPP certification, is an asset.
  • Experience with Electronic Document and Records Management Software (EDRMS), such as SharePoint, is an asset.
