Program Coordinator

Your responsibilities in this role:
- Collaborate with program managers to create, maintain, and update detailed project schedules.
- Track project milestones and deliverables, flagging potential risks or delays.
- Provide support in defining project roles, responsibilities, and action plans to ensure alignment and accountability.
- Organize and facilitate all program meetings virtually and onsite.
- Compile, analyze, and present project metrics using data visualization tools (e.g., Power BI).
- Prepare project status reports, including schedule performance, resource usage, and key performance indicators.
- Maintain program dashboards and ensure accurate data entry into project management tools.
- Coordinate change requests and support the implementation of the change management process.
- Update schedules and documentation to reflect scope changes.
- Maintain organized, detailed project documentation, ensuring all communications, approvals, and records comply with applicable defense standards and regulatory requirements.
- Conduct periodic audits of project records to verify compliance and recommend corrective actions.
- Facilitate communication between internal and external stakeholders, ensuring alignment on project objectives and progress.
- Provide clear, concise updates on project status, risks, and resolutions to all relevant parties.
- Work closely with cross-functional teams, including IT, Data Analytics, and Operations, to align project solutions with organizational goals.
- Participate in meetings, stand-ups, and reviews to ensure project transparency and stakeholder engagement.
- Identify and implement available technologies to improve project workflow and decision-making.
- Leverage automation to streamline workflows, communication, analyze data, and enhance team productivity.
- Other duties as assigned by the Program Manager, Planning and Control
Apply if you have most of the following:
- Bachelor's degree in business administration, or a related field. (Or equivalent)
- 3+ years of experience in project coordination or a similar role, preferably within the defense, aerospace, or engineering sectors.
- Demonstrated experience in leveraging technology to enhance project processes is highly desirable.
- Proficiency in project management tools (e.g., MS Project, Smartsheet).
- Strong organizational and time-management skills, with exceptional attention to detail.
- Excellent communication skills and the ability to work effectively with cross-functional teams.
- Knowledge of project management methodologies (e.g., Agile, Waterfall) is a plus.
Must be eligible to meet the requirements of export control regulations, including the Canadian Controlled Goods Program and Canadian government security requirements.
