About the Role

The Assistant Manager is responsible for administration and operational tasks of the accreditation programs and provides key support on advisory services. The candidate supports the team in business development, planning, coordination, and implementation of projects.

The role involves contributing to operational efficiency, product improvement, and identifying new business opportunities; coordinating with ACI staff, member airports, and external clients and service providers worldwide.

Providing high-quality client support internally and externally is essential.

About Our Accreditation Programs

ACI provides accreditation programs to support member airports worldwide, encouraging continuous improvement and helping airports achieve excellence efficiently.

Primary Responsibilities

  • Administration: Update financial data, maintain performance dashboards and KPIs, create purchase orders and ensure vendor payments.
  • Legal: Act as the contact point for AA&S, ensuring tracking of contract obligations and signatures.
  • Operations: Manage user registrations, coordinate service delivery, and provide customer support.
  • Business Support: Engage with airports, support marketing activities, and identify business opportunities.
  • Communication and Marketing: Coordinate with the Marcom team and implement the marketing plan.
  • Client Relations Management: Provide technical support and monitor requests through the Global Assessments & Accreditations email account.
  • Budget and Invoice Management: Track expenditures, manage invoices, and update budgets.
  • Database and Platform Management: Oversee CRM database maintenance and conduct data analysis.
  • Project Coordination: Work with stakeholders on new projects and IT platform implementation.

Advisory Services Support

  • Manage RFP applications and submissions, oversee procurement portal activities, and identify new opportunities.
  • Other duties as assigned.

Working Relationships

Internal: Reports to the Manager, Accreditations; collaborates with Airport Assessments and Services staff, ACI Regional and World staff.

External: Liaises with members, service providers, and other agencies as required.

Requirements

Education and Experience

  • Three years of experience as a product coordinator or similar role.
  • Post-secondary education or higher.
  • Experience with communications at various organizational levels.
  • Project management experience is desirable.
  • Experience in the aviation industry or international organizations is a plus.

Skills and Abilities

  • Proficiency in MS Office and software suite.
  • Excellent written and spoken English; French and other languages desirable.
  • Strong customer service skills.
  • Time-management, organizational, and problem-solving skills.
  • Detail-oriented, efficient, and proactive.
  • Ability to work in an international environment.
