This role is crucial to the success of Bayshore's digital transformation. As a Project Support Analyst, you will drive the execution of projects, ensuring they stay on schedule and within budget. You will collaborate with cross-functional teams, manage project documentation, and facilitate smooth communication. Additionally, you will actively engage with stakeholders, gather requirements, and support the implementation of change management plans, ensuring successful adoption of new technologies across the organization. Key Responsibilities
Project Coordination

This role is crucial to the success of Bayshore's digital transformation. As a Project Support Analyst, you will drive the execution of projects, ensuring they stay on schedule and within budget. You will collaborate with cross-functional teams, manage project documentation, and facilitate smooth communication. Additionally, you will actively engage with stakeholders, gather requirements, and support the implementation of change management plans, ensuring successful adoption of new technologies across the organization. This role requires strong organizational, communication, and problem-solving skills, and a passion for delivering high-quality results that improve client care
Key Responsibilities
Project Coordination
- Track project schedules, tasks, and milestones, ensuring timely completion and adherence to deadlines.
- Maintain comprehensive project documentation, including action logs, meeting minutes, status reports, risk registers, and issue logs
- Organize and facilitate project meetings, including daily stand-up meetings, planning sessions, stakeholder reviews, and steering committee meetings
- Support task prioritization and ensure timely follow-ups on action items.
- Assist the Program & Project Managers in managing project scope, budget, logistics and travel.
- Collaborate with the project team, including developers, testers, and business analysts, to align branch needs with overall project timelines and objectives.
- Proactively identify and mitigate potential project risks and issues.
- Build and maintain Team SharePoint site.
- Liaise directly with key branch stakeholders (e.g., nurses, therapists, area directors) to understand their needs, concerns, and workflows related to the Bayshore’s digital offerings.
- Gather and document user requirements for new features and enhancements, ensuring they are clearly defined and aligned with business objectives
- Support the development of user stories and acceptance criteria for development teams
- Assist in the analysis of user feedback and data to identify trends and areas for improvement
- Support the development and implementation of change management plans for new application releases and updates
- Assist in the creation of training materials, communication plans, and user guides.
- Support the monitoring of user feedback and adoption metrics to identify areas for improvement and address any user resistance.
- Collaborate with internal training departments to ensure effective user training and onboarding.
- On-site: 3 times per week, with travel to BHCS Branches as needed.
- A Bachelor's degree in Business Administration, Health Informatics, Information Technology, or a related field is preferred
- 2-5 years of experience in project coordination or business analysis roles.
- Excellent written and verbal communication skills with the ability to effectively communicate with both technical and non-technical audiences.
- Proficiency in Microsoft Office Suite and project management tools.
- Ability to work effectively with clinical teams and staff to understand their needs and drive adoption of new technologies.
- Very strong organizational skills and the ability to manage multiple tasks and priorities in a fast-paced environment.
- Experience in the healthcare industry is an asset.
- Good foundation in project management methodologies and business analysis principles
- Proven experience in project coordination, including tracking progress, managing timelines, and mitigating risks is essential
- Excellent communication and interpersonal skills are crucial for effective collaboration with stakeholders, including IT, Dx, and branch staff.
- Proficiency in Microsoft Office Suite, including Excel, Word, and PowerPoint, is mandatory
- Experience with project management tools such as Jira is desirable
- Strong analytical and problem-solving skills are necessary to identify and resolve project challenges
